Visio is one of the important application for flow chart and diagrams and especially the best for BSA. Choosing templates help to get glimpse of final outcome and we can still make changes as per our requirements. I tend to use either cross-functional process templates within Visio or utilise a BPMN plug-in to introduce pools/swim-lanes, activities/tasks, events and more. Using Visio provides the versatility to finesse the look of the deliverable, create interesting visuals that are not based off a template. Layering or overlaying related objects and concepts, helps communicate information on a single page.

MS Visio is such an intuitive tool. Even when you select one of the many useful templates as a starting point, it is so easy to customize your flows by pulling from other templates. Once you dig in to what’s in there, any user can create beautiful representations of their flows within two or three attempts. Everything you need to unpack your creativity is there!

First, You choose the Shape Types (Mostly Basic Flow Chart elements). The good thing is how it is easy to use and how is it easy to adjust the shapes, move them all together. It helps to display flow and save multiple paragraphs by just a small figure.

As mentioned in my previous post, the skeletal structure can be auto created by using the templates provided in excel under Visio & basic shapes & joiners will be auto created, you can select similar field types & change them to the shape of your choice. Keep in mind that whilst you would want your shapes to look fancy & unique, it would help to use the basic shapes to avoid any confusion. E.g. changing diamond shape to anything else to depict a decision box

One recommended methodology to end a process flow with a subprocess flow reference than a stop reference. This is extremely useful when you are working with integrated softwares like ERP. A common mistake is that each flow ends with a stop option- rather stop should only be used with the very last flow (for example: GL close).. everything in between should end with a connection to another applicable flow

Don't overdo it. Your stakeholders are more likely to appreciate a clean, simple diagram than an overformatted, overcustomized drawing.

Visio is easy to use but communication using it is an artform. Just because you understand what you're built doesn't mean the next person will instantly follow it. Keeping it simple and clean is key to this communication. It's a visual, use breakout documents and consider the 'happy path' as the main strand. Don't get too bogged down in sub-processes and detail relating to 'what if' scenarios and contingencies - they can all be mapped out in Visio separately.

As someone else already said, don't overdo this. Keep it to just a few colors, and only for specific reasons. Colors should call out certain things. For example, I like to use a red color to highlight certain errors that may occur in the process and may need special attention. Everything else should be black. I have made some diagrams where depending on what would happen, the work would flow to a different department, so I gave the different departments their line own color and added a key to let people know what was going on with the color change.

I always prefer to use a format from the company I am working in, so in amazon the box outline is orange but the text is black. if in Carrefour the Outline is blue. but I always have black regular text to make it professional

In my experience, I'll suggest that you have a sketch of what you intend to draw a flow, this makes the process faster and seamless, however, there should be room for alteration when and where necessary. Also, remember to add an information table to the diagram (which could include the Author, the version, the date created and the use case), this will help not just to track changes but to provide more information about the diagram.

If you use Visio for diagramming processes, that’s all you will get: a picture. This is fine if all you want to do is show others a picture. However, if you want to ‘model’ a process i.e. gain some insight or value from analysis, then Visio is not a suitable solution. Typically, process ‘modelling’ is used in support of transformation and change. Key outputs from a modelling solution are: enterprise architecture analysis, change impact analysis, cost and resource analysis, performance analysis and variant analysis. None of these are possible using Visio. Why are these outputs of value? Because it’s the poor management of change and engagement with the workforce that often result in programme failure.
