How can you use communication skills to lead a group towards a common goal?

I find using the World Café method to be a transformative approach that harnesses collective intelligence through dialogue. By creating a welcoming environment reminiscent of a café, we encourage participants to discuss issues in small, intimate groups. As they rotate, ideas cross-pollinate, mimicking the café's dynamic buzz. This ensures diverse perspectives are shared, leading to innovative solutions. It's about connection, conversation, and community, vital for meaningful engagement and actionable insights.

This is going to sound very basic, but having participants wear name tags so that you can use their names when you facilitate is so much more powerful and empathetic than simply pointing and saying “yes, you?” when asking someone to share. Some participants will question the necessity to wear the name tags if they already know each other. Just inform them that the name tags are to help you because you don’t know them and you care about using their names.

I see the role of a facilitator is to help individuals open their minds to thinking differently, and then to share their unique experiences and perspectives with others, for them to learn from. To do this the key is to continuously foster an environment of psychological safety, where everyone in the group feels safe to speak up - when one person speaks up, everyone learns! Furthermore, the aim of facilitating is helping the individual and the group bring the topic to life in a way that makes sense to them. One thing I find helpful is WAIT - Why Am I Talking? That reminds me of my role to empower the group to take ownership of learning, not about me.

Ask and Listen! Catherine’s 2nd Law of Leadership is that people will always perform for their reasons not yours. Find out their goals and facilitate alignment. ‘How does getting what we want get you what you want?’ It’s an honest question and will get an honest answer.

First, it’s important for all team members to clearly identify and understand overall goals and objectives. I would work with them to create an environment where everyone feels safe to contribute ideas, thoughts, feelings. This would include asking questions, actively listening, and providing constructive feedback. Also, effective communication requires the ability to use all forms of communication and to adapt to changing situations.

Establishing a group culture, rules of engagement, or team alliance - all variations on establishing a container for conversation - almost always seems like a big time suck, and yet is really helpful. But it's not the list itself that's important; it's the facilitation and discussion gathering the agreed-upon parameters that are. Build on what a group already has established, and if a group is totally new, be sure you dig in a bit on cliche answers such as "respect." How does that show up? What will that look like? And invite voices to be shared and to note them exactly as they are said. Sometimes, the scribe will change wording without even realizing it - and that is a quick way to undermine trust. Our words matter.

Establishing group rules is key to the successful functioning of a group. As difficult as it may be, and some resistance and pressure to move on is to be expected, spending a significant portion of the first session (or even more depending on the client group and number of sessions) will pay dividends later down the line. Not only will this make expectations and boundaries clear, but it will allow the group, over time, to manage itself to some degree. A significant amount of effort on the part of the facilitator(s) may be needed to reinforce the group rules early on, but once established these collaborative rules and guidelines will make for a much safer space and for a more positive experience.

I would suggest to do an activity before starting the session and get the clarity from audience on the expectation from the session & then clarify what exactly will be covered.

Something I like to speak to when I present the purpose and aims of the session is the participants' often unspoken question "What's in it for me". For example, if the aim is to learn a skill, be explicit about why they should care, and how it's going to help them (based on your understanding of the group). This shows your understanding of their challenges and builds trust. In my experience, there is significantly more buy-in when groups contribute to the agreements. I like to present 3-4 agreements and then ask them what else they need to have in place. Often they come up with 2-3 more agreements that reflect the specific needs of that group that I wouldn't have thought of.

In every work, personal or group relationships, the thing I found helpful is to acknowledge everyone or anyone who has not spoken. This ensures each person shares. Ideally, with observation, the person who is an innate active listener acknowledges and recognizes each person and ensures each has an opportunity to speak. For example, in many situations, during a meeting, I have noticed that one person did not speak during the meeting. For that reason, I ask, stating for example, "Billy, what do you want to add?" I ask because usually "Billy" looks as if there's a light bulb over his head or if he has a new awareness to add to the conversation. Listening attentively and respectfully, while asking relevant questions entails more information.

When a group determines that they're moving towards a common goal, it doesn't necessarily mean that everyone will see things the same way or agree with the choice to do so. Therefore, staying curious as the facilitator becomes increasingly important to remain abreast of people's changing needs and desires. When you listen with intent and ask questions, you encourage each person to explore within themselves and have an opportunity to express themselves. Even if you choose to move in a different direction, those who oppose it will at least feel seen and heard throughout the process.

Asking the right question is key. One method that I use is ORID, which is a structured process to facilitate or engage in a conversation. It works for friends trying to figure out where to go for dinner, parents wanting to know about a child's day at school, AND professionals figuring out innovative solutions to addressing complex problems. I have found it to be an organic way in which we can process info to make an informed decision. ORID stands for: Objective: questions about facts, about what is. Reflective: questions about how people react to and feel about the facts. Interpretive: questions to figure our what it means, and the implications. Decisional: questions to figure out what to do and what happens next.

?? Listening is simple, but most people don't do it well. Active Listening means that you're attuning fully to the needs of others. If you begin to feel distracted by outside noises, or wanting to share your own opinion, or want to tell a personal, relatable story, do the following two things at that moment: 1. Remind yourself that these are moments for you to serve others. 2. Get curious and learn more about what the person is sharing with you. You can ask powerful, open-ended questions that begin with "what" and "how." These types of questions invite the other person to explore their ideas further.

Asking open-ended questions and listening actively to the concerns, ideas, and feedback of the group members can help in multiple ways. The behavior exhibits openness. It also signifies to the group that you are keen to hear them and draw from their perspectives. This often is the first step of co-creation.

Conflicts are meant to be embraced; therefore, a willingness to lean into and learn from them leads to a more straightforward path toward resolution. Listen actively, practice non-judgment and neutrality, and be curious by asking powerful questions. You create a safe environment that encourages vulnerability and authenticity as you bring these skills into the fold.

Understand where the conflict is coming from and encourage open dialogue and conversation. There is often and underlying issue which can be solved by providing a safe space to share and collaborate.

I think that making genuine connections are the secret sauce that makes communication truly effective. By making genuine connections with group members, you can establish the foundation for trust that brings open dialogue, collaboration, and shared problem solving. This should ultimately lead to more successful facilitation and group goals.

Building trust and rapport within your group is fundamental. Begin by creating a safe and non-judgmental space where participants can feel heard and their contributions are valued. Sharing relevant personal experiences to foster openness can be useful at times but this should be purposeful and within professional limits and boundaries… i.e. not ‘over-sharing’. Being consistent and reliable is also extremely important. This allows participants to become familiar with the process and to feel safe to share and contribute. It also has the benefit of role modelling positive group behaviours.

Trust is established when people prioritize getting to know one another better. Sharing personal stories and connecting on common values allows people to humanize their experiences and move beyond the transactional relationships we're all too accustomed to.

Share the journey. Feeling valued and being able to contribute as a full member of an organisation cannot be underestimated. For employees to succeed they need 3 key aspects: 1. Independence and ownership 2. People need to feel they matter in the organisation 3. Employees need to know and feel they are effective

Inspiring action and change should start with authenticity of the manager by highlighting the true nature of any motivation. He or she should share the goal, potential results and have an ppen conversation about previous initiatives, resistance to change and focus of work in the next period. In this way, there will be a mix of change that will mean eventually adaptation to the already changing context.

?? There are two primary ways to inspire action and change: 1. Be the change you want to see in others and model the preferred behavior. 2. Stay curious through powerful questioning to learn what motivates others. This inspires others to create insights that lead to taking action on them.

Eliminate group think to inspire action and change. As a leader or facilitator if everyone agrees, there's something missing. Even in highly cohesive groups, take steps to lessen the impact of groupthink on collective decision-making. Unfortunately, Groupthink arises out of a natural pressure for conformity. The group think potential can be alleviated by assigning one member to act as a contrarian. (People traditionally call this person the "devil's advocate.") If not the leader or facilitator, this person intentionally raising every possible objection or other option. If the leader is the contrarian, the leader inspires change and opens the floor for differences in opinion, thought, feelings, etc.

The power of storytelling cannot be overstated. A well-told story can captivate the audience, making abstract concepts tangible and relatable. It's an effective way to create an emotional connection and drive home key points.Utilize pictures and drawings, as they often speak louder than words. These universal tools aid in conveying complex ideas and foster deeper comprehension. And to communicate effectively : Use language that everyone understands, avoiding facilitation jargon. Simple, short sentences and clear explanations of each activity's purpose and expected outcomes are vital.

One communication skill that has served me as a facilitator is learning how to pause and be comfortable with silence. This opens up space for participants to think, contribute, and take greater ownership of the group process moving them toward a common goal.

In my experience, taking a curious approach to all meetings is helpful. For example, saying, "I am curious - what if we....." will ultimately lead to diverse or divergent options, experiences, answers and more.

Communication is the fundamental skill set that allows for collaboration and meaningful connection. To become an astute communicator, one must first learn how to communicate within oneself and monitor one's negative self-talk and belief systems, as we all have those little voices inside us that play on a loop. As you develop greater self-awareness and embrace humility, your ability to connect and communicate with others grows exponentially.

A simple way of using Communication Skills to make a Group reach a Common Goal, a step-by-step process that I follow: 1] Divide the Group into 3-4 teams 2] Give them the Goal first 3] Make them work on 3 questions about the Goal a) Is it Relevant to you? Why (for both Yes & No) b) What are the benefits of achieving the Goal? c) How can you achieve this Goal? (Path & Roadblocks) 4] Once the teams prepare for the above points, they must present and convince the other teams of their points. This debate leads to a Common Consensus 5] During the Presentation, I only facilitate the discussion, in the direction of the Goal. 6] Once done, they not only reach a Common Goal but are also aligned with the Path & Roadblocks.

It's important to recognize and encourage multiple techniques for participants to contribute to the discussion. If all voices are going to be heard, there must be an atmosphere of psychological safety. To support the methodical, analytical, and supportive communication tendencies of participants, I have used the following methods: - provide sticky notes for people to write their ideas and post for the group to see. This allows some time for reflection and a safety net for ideas to be shared anonymously. - post flip charts labeled with topical themes, have participants add their ideas, and then conduct a gallery walk to review the contributions. These ideas allow space for the more reflective voices in the room to be heard.
