How can you use agile budgeting to improve your program's responsiveness to change?

Agile budgeting involves iterative cycles, dynamic resource allocation, and prioritizing spending based on immediate program value. Collaboration across teams, adaptive planning, and feedback-driven adjustments enable swift responses to changing needs. Lean principles and rolling forecasts eliminate inefficiencies and support continuous adaptation. Contingency reserves address unforeseen changes, while transparent communication ensures stakeholder understanding of budget decisions and adjustments, fostering a responsive financial management approach.

Agile budgeting is a relatively new approach that enables flexible budget management and is adapted to agile project management methodologies, where each feature defined in our product backlog is priced accordingly, it is important to remember that flexible budget management in collaboration with agile project management to provide project deliverables while in movement and with full control.

This also helps stakeholders understand that asks are not simple and require detailed vision to build Fit-For-Purpose solutions. Applying Agile without saying "agile" makes it less daunting. By breaking down vast efforts into incremental phases, we allow for the scope and success criteria for each phase to be precise. POC/MVP is what we start with where the stakeholders are asked "what is the ourput you need within the next 2 months?" This becomes the success criteria for the phase, and from there the configuration specialists align on the technical capabilities required to acheive the phase one outcomes which translates into budget and time. Once the POC/MVP solution is piloted, only then are the phase 2 outputs discussed.

At Planet Argon I've been breaking down very large projects into phases, and then sprints, to help provide better clarity on spends, milestones, and to give the client some control of the way a budget is spent. For new clients and projects, this helps to build some confidence in the work and availability of the team to move through the sprints (and then phases) in timed increments and allows the client to better control how they are spending. We've seen some success in scaling up a sprint or phase when things get complicated because there is built-in good will based on previous work.

According to my experience, Agile budgeting proves invaluable in today's dynamic business environment by offering flexibility and adaptability in my projects. It is important to remember that the Agile approach, which is admittedly very advanced and adapted to the new world, is not always the best choice and we must exercise judgment when it is right to use it and when it might be worth approaching with an alternative or perhaps a hybrid approach to suit the needs of our organization.
