How can you train project coordinators on new software?

If you are a keen learner and always open to it then you have done the half of the work. Secondly, the basic concept of management tools or software is the same just representation varies. If you are good with the concept then you will cope up easily. For that initially you have to read the documentation of the software that what features it is providing and how one can take advantage of it by using in their project. Then you can take a short workshop of it where you can practically implement and train them how to use it.

Besides assessing their skills, knowledge and preferences, one important thing to take note of is their learning style. For a visual learner, sharing a tutorial document full of words might not be the best bet. For someone who learns by "doing", perhaps a tutorial video with step by step instructions will be more helpful or even a practice session with the manager or someone more familiar with the tool. Also keep in mind the possibility that the coordinator had a previously familiar system that "worked". Providing room for a transition period is always best in order for the coordinator to compare and contrast both systems and notice the perks of the new software for themselves.

I agree however more focused approach is required when identifying the needs for training of team members. Surveys within the group or focus group approach would be able to identify the needs.

Sometimes when I learn new software I start a template/project called "The Big Project" and populate as much data in to that project as I can. I walk that project through a life cycle and expose it to reporting. That way, I can see all of what is available in one place and have a template for the next "smaller" project. It's a kind of self-starter project software education and I've always had success in finding my route through the software.

Knowing your staff is key. Personally, i think I would develop a self paced course to be completed and then incorporate a major project at the end, to then be presented at a one day face to face session. This gives the person learning a chance to think for themselves thoughout and then brainstorm as a group in the end. Q&A and actually see other prespectives. Great way to learn software from my pov.

Different people learn different ways. We are all unique, and so are our learning styles. When it comes to learning one size does not fit all. It takes some trial an error to better understand the best way to present new information to a trainee. . Some do better with notes, others prefer sharing their screen as you guide them, while others prefer watching your screen as they perform a task along. Making zero assumptions and asking open-ended questions about their learning preferences goes a long way!

The thing I have found most helpful is being available to mentor and collaborate over new processes and tools. Usually one of us can learn the tools fairly quickly through either reading manuals or hands on playing around then once they have ideas they start sharing with others as they need to use the tool in their work. Our team has a good knowledge and sharing group as well where if we find something out we share it with the rest of the team, or we ask questions.

What I've found is helpful is to have a self-paced option followed by a workshop working on scenarios and enable a forum for questions.

When learning a new software, i learn the most when I fail. So, I say, let them have the freedom to explore and allow them to fail a lot.

My take on this is mainly for management. I gave seen in many development projects that employees provide feedback. This feedback is noted. Looking at later stages this feedback returns but it is actually not handled or solved. Meaning if you organize sessions where you ask for feedback than pick it up and do something with it. I understand that it is not always possible to solve all problems. I the company I work for I have seen to many instances where the feedback is noted to be ignored.

I always think that training on the job (and take time for it) is the best way to get started. Of course supplemented by other methods. This can be in the form of fun workshops. Making learning fun will increase the retention of the knowledge.

Never expect that one simple training session will be optimal. In my opinion you need a combination of different training methods and a spread over time. If people remember 20% of 1 training session and another 20 from the second training session you can expect better results. Surely you have to learn from every session and improve.
