How can you strategically manage a difficult colleague in a management role?

Sometimes we need to assess whether the colleague is actually difficult or whether they simply challenge and question the status quo. It's always good to look inside yourself first and ask, "Is this person genuinely difficult, or do they annoy or stress me because they don't agree with everything I say." The problem isn't always the other person.

The biggest challenge in such situation is about ‘Acceptance’. Accept that a conflict situation exists and it needs to be addressed. Next is without being judgemental, discuss respectfully with the person. Listen. Often the problem is about just being heard. Offer solutions, best way and even if there is a need of creating Win-Win or a compromise. These kind of scenarios and situation should be dealt quickly and with a sense of urgency. People should be always taken care of first. Rest of the things (including work) will happen automatically.

As a leader, your time is limited. It’s not worth the effort to address every issue - especially if a particular colleague is consistently difficult. However, it should always be addressed if/when it puts you in a precarious situation and even more so if it does that to your team. Further, if your team comes to you voicing grievances, even if you think the problem is minor, it may need to be addressed. Knowing when to battle is really about knowing when the health of the company is in jeopardy - not when you feel personally attacked.

Don't let someone else's failure to control their actions dictate yours. I would bring this point up in the process, before the communication. It would help to ensure there is proper awareness of the situation before it potentially gets more serious, that the right people are able to advise on the process itself, and will also give the opportunity to the other party to engage bilaterally with the same people as needed, so there can be a line of sight to mediation should it become necessary. It does not mean that more people have to be actively involved from the beginning, which could create un-necessary escalation, but it does in my view make the whole situation handling healthier as less dependent on one/two/very few people and focuses more on collaboration and solutioning.

You don't want to be seen by those you manage as unapproachable and make a strong hierarchy where you are ruling them with an iron fist. If there is a difficult colleague, it needs to be dealt with at the source from the source. Someone may appear cold and negative to others and Chinese whispers spread and impact productivity and get out of control and spin into a totally different truth entirely. An employee may be going through a difficult time in their personal life and need to feel supported as do other colleagues you manage. Communication is key.
