Volunteer management is a critical skill for any successful nonprofit. Having spent over 40 years in the nonprofit sector, primarily the charitable sector, I've seen the issue of volunteers and volunteerism from several perspectives. One often ignored topic is funding volunteers and volunteer management. It's more than dollars and cents; it's about commitment to using volunteers well to promote your mission. A key to this issue is simply this: Voluteers aren't free. You need to recognize the costs of recruiting and screening volunteers--especially if your volunteers work with kids. You also need to recognize the costs of training and acknowledging the volunteers' work over time. What's important is that you plan for those costs.

For me, the primary focus should not be on measurable goals, but on building a shared identity with the organization amongst the volunters who share its values. The key is relationship building. Relationships are a two-way street. If volunteers are not feeling fulfilled in their role and in their relationships, they will move on. They need to feel seen, and valued, and that their contribution is important. If you're doing this right, it should not feel like a job; it should be easy to stay motivated because your volunteers will be motivated. Remain in a state of gratitude and never take humans for granted.
Smart goals are designed to envision, plan, implement and celebrate success at every level. When individuals thrive, so does the organization.

Communication is essential for building trust, rapport, and collaboration among your team members, as well as for clarifying expectations, roles, and responsibilities. You can communicate effectively by using various channels and methods, such as emails, phone calls, meetings, newsletters, social media, and feedback surveys. You should also communicate regularly, clearly, and respectfully, and encourage your team to share their ideas, opinions, and concerns.
Establish clear expectations early and often but know this: the organization that focuses solely on whether its volunteers are meeting the needs of the organization, but fails to fulfill the needs and wants of its volunteers–is destined for failure.
I could not agree more. If you wish to work with volunteers or likewise with publicly known persons as ambassadors, first make sure that you will be able to make use of their knowledge and/or reputation otherwise it is not worth anyones time. Furthermore, do not fail to make your volunteers a lively part of your organization. Provide them with valuable insights into the business, invite them to events and say thank you on a regularly basis for their engagement.
Effective communication involves two or more people clearly expressing their intent and understanding the focus of the conversation. It also involves capturing your audience's attention and encouraging them to do something with that information.
Part of effective communication is actually listening to your volunteers as well as being clear and effective with your expectations. Be open to the feedback of your volunteers, they may have a more effective way of exciting your expectations.

You can delegate and empower by providing clear instructions, resources, and support, as well as recognizing and rewarding your team's efforts and achievements.
People volunteer because they want to contribute in a meaningful way. It’s critical not to underutilize the skills they bring with them to the table. Make sure you take time to understand skills you need in your team and recruit volunteers with this in mind. Think big and small…some people can play big parts in the time they have. We had an HR specialist volunteer smaller chunks of time in recruiting and interviewing volunteer mentors. It brought increased professionalism and accountability to the entire team. And one of my favorites, don’t forget to encourage…encouragement brings courage to go for more.
Delegation isn’t about doing less. It’s about shifting your perspective. I think one of the most underrated parts when leading a volunteer team is the prep work it takes to create an environment that others can thrive and enjoy. The experience/environment you create for those that are serving with you has an immense impact on the output and quality of the work you’re doing. As a leader think of others. Create an environment for others to win.
Being taught that asking for help was actually giving other people opportunities rather than burdening them - may have been one of the most important things I ever learnt as a manager of volunteers. It starts with taking time to get to know your volunteers. Why have they volunteered? What do they what to get from the experience? What skills do they have? What do they enjoy doing? This means you need a good understanding of what needs doing. I ended up with a pair of gardening volunteers through one of these conversations. Not at all what I was expecting, but as an activist organisation we weren't very good at maintaining our garden and they are excellent gardeners :-). Then make sure you say thank you and look after them.

Passion can be a dangerous thing. Especially in the volunteer fire and emergency services, it's easy to tell the difference between those who it's in their blood, and those who it's not. But I caution everyone, it's like anything else that gets in your blood – it can hurt you, harm relationships, and even kill careers, families, marriages or worse. Sometimes we need a boot, or just a reboot to recharge and re-center ourselves.
Finally, you can stay focused in volunteer management by learning and growing continuously. Learning and growing can help you improve your skills, knowledge, and competencies, as well as adapt to changing needs and challenges. You can learn and grow by seeking feedback from your team and stakeholders, attending training courses, webinars, or workshops, joining online or offline networks or communities of practice, and exploring new opportunities or initiatives.

Seeking feedback, attending training, and engaging in networks or communities are proactive ways to enhance skills and adapt to evolving challenges. To stay focused on volunteer management, I look for opportunities to expand my own knowledge and skills. These opportunities include books, podcasts, conferences, and workshops.
This should be new trend for both fresh and experienced professionals within Africa. If Africa must address the brain drain issues/challenges, if we must grow our local businesses, organisations and career, volunteering is the new era for human Capital sustainability and competency drive in the continent.

Join a volunteer managers virtual or in-person meeting group and learn from others in your role in other settings or industries. Our local United Way hosts a volunteer coordinators group and provides ongoing professional development opportunities. I've learned so much from so many not in my public safety world by doing so. Quite often, the first place I look for solutions to the challenges I face in volunteer fire and emergency services recruitment and retention – is everywhere but the fire service. I read magazines and books, attend meetings and trainings and learn from others outside my industry, many who have faced the same challenge and have created unique solutions in a setting other than mine.
Keep their eye on the prize! It’s hard to keep volunteers motivated if they lose sight of the end goal, the “feel good part” where their efforts make impact! Share and highlight stories of impact with them and give them time to enjoy the fruits of their hard work and give credit where credit is due.

One thing I've found interesting in volunteerism is that, when you make your team members see what they do as their own they put in their best and bring out positive result. As a volunteer to bring out good results, you should have passion for what you are doing and you will produce great results
Don’t be afraid of change agents! While these volunteers might look as though they’re trying to derail well-thought out plans and projects, many times they see opportunities for growth or a new opportunity to serve the organization that hasn’t been utilized. Rather than brushing them under the rug as a volunteer that might not “fit” the organization, work to see how they might best be an asset through other means.
