Backing up your examples with stats and percentages definitely adds more weightage. Instead of saying you reduced the data size from 1TB to 200GB you could say, 80 % reduction of data was achieved saving ‘x’$ from the budget ( forecast ) Using simple terms in your explanation will further show clarity to the panel. Try avoiding giving examples of similar nature as this would portray limitations in your experience . Mention how handling the skill gap during the resource allocation is important along with cross training. In case you don’t have positive examples, do mention the positive learnings from an example that didn’t meet the required result. Demonstrate your passion towards problem solving instead of problem celebration.

I believe that being able to show your holistic understanding of achieving business objectives is key. How did you put a plan in place that would meet business objectives and achieve the goal within cost, schedule, and performance measures? Then show how you did not just accomplish your goal, but you continued to improve and refine the implementation as you learned over time and kept tuning resources to find savings over time while continuing to support continuously evolving business goals.

In my experience, thorough preparation on basic budgeting and resource allocation concepts is key. For example, in a previous role, I applied variance analysis to identify cost-saving opportunities, leading to a 15% reduction in project expenses. I agree with the emphasis on applying these concepts across diverse IT projects. In managing software development, I utilized resource leveling to optimize team efficiency. Being well-versed in resource breakdown structures ensured effective allocation in infrastructure maintenance projects. These practices contributed significantly to achieving project goals and objectives.

I would rate this as probably the most important aspect i’d check if am interviewing a candidate as any budget or resource plan we may build will inevitably need to be adjusted as the year goes on. A good manager is one that can find creative ways to solve these problems and get things done instead of always going back with an ask for more money or resources or both. Prepare examples of how you’ve handled such situations with details to make a strong impression which is possible if you follow the STAR technique properly.

As a leader, more important than making decisions is to stick to it when being questioned or challenged as this directly impacts the outcome. As resources and budget directly impact the time factor, it's vital to communicate the risks in case management is planning budgetary cuts / hiring freeze. Demonstrating cross-training within the existing teams to promote them and then later reallocate them comes in handy during crunch times amid budgetary cuts. However, this approach is more realistic if you have a minimum of 3 resources (1st resource to be cross-trained by the 2nd and the 2nd by the 3rd. Provided the resources were willing to upskill, the decision to cross-train and retain existing resources was more sustainable than hiring.

Unfortunately Not all budget and resource issues can be solved without asking for more money or resources. Sometimes mistakes happen and plans fail many a time. Be honest and acknowledge errors in planning or execution instead of trying to find excuses. I would prefer someone who acknowledges their mistake and has a plan to avoid it the next time rather than someone who is yet to understand their shortcomings and is still in denial.

In my experience, outcomes should be the focus, but achieving them is quickly forgotten in the IT world. Last year's breakthrough is a commodity this year, and you must continue to evolve and meet business goals in the current environment. This doesn't just mean change for the sake of change, but likely what you implemented previously can be updated to a faster, cheaper solution, that will make room in the budget to focus on "what's next".
