1 What is waste and defect?

Waste and defect are two types of quality problems that can affect your performance, profitability, and reputation. Waste is any activity or resource that does not add value to the customer or the process. It can be classified into seven categories: overproduction, waiting, transportation, inventory, motion, over-processing, and defects. Defect is any deviation from the customer's requirements or specifications. It can result from errors, mistakes, or failures in the design, production, or delivery of the product or service.

Anything that doesn't add value to the organization, customer, product, or service is considered waste. Organizations identify and eliminate such waste by examining the entire supply chain for issues like over-complexity, overproduction, overprocessing, and excess inventory in materials or human resources. Any element which is "OVER" are reassessed to enhance efficiency. A 'defect' refers to any deviation, imperfection, non-conformity, or incomplete requirement that makes a product or service unacceptable to the customer. Weak quality control processes and the absence of automation lead to more defects, driving up the cost of production. Defects significantly impact the cost of quality."

In my view, reducing waste and defects is a fundamental objective in Total Quality Management (TQM), as it leads to improved product or service quality, increased efficiency, and reduced costs. To reduce waste & defects, I generally follow the below stated principles & practices into TQM approach, 1.Identify and Understand the Process 2.Customer Focus 3.Root Cause Analysis 4.Process Standardization 5.Error-Proofing 6.Continuous Improvement 7.Quality Control and Inspection 8.Training and Skill Development 9.Data-Driven Decision-Making 10.Supplier Involvement 11.Lean Principles 12.Feedback Loops 13.Empowerment and Engagement

Defect is deviation from customers requirement, but in addition also deviation from industry norms and standards. Customer occasionally may not be able to present requirement in detail or may know of all technical specifications.

4 What are the challenges of TQM?

TQM is not a quick fix or a one-time project; it requires a long-term commitment and a change in mindset and behavior from all levels of the organization. However, you may face challenges when implementing TQM, such as resistance to change due to fear, uncertainty, or inertia among your staff or stakeholders; lack of leadership which can make it difficult to maintain the vision, direction, and support for TQM; inadequate resources which can limit your ability to invest in training, technology, or tools for TQM; and poor communication which can create confusion, misunderstanding, or conflict among your team or customers.

In order to ensure the success of Total Quality Management (TQM), you need to adopt some best practices. Communication of the benefits and expectations of TQM to staff and stakeholders is essential, as is providing strong and consistent leadership that embodies its values. Moreover, it is necessary to allocate sufficient resources and time for TQM, aligning them with your strategic goals and priorities. Additionally, utilizing appropriate tools and techniques such as quality audits, benchmarking, process mapping, or statistical process control is key.
