One of the key factors to proofread for tone and voice is what I like to call "distance". Love your work a lot when you're writing it. But then when you've poured out your passion, step back. Disconnect and forget about it. Come back to it after a while to proofread. Come back with a keener eye and an editor's lens. Come prepared to chop. Write with heart. Proof with head. Only this will give you the insight and fresh perspective you need.

People identify more with brands that appear "human" in their messaging, and this includes the conveying of (appropriate) emotions. Punctuation and even capitalisation are such simple tools for conveying tone that we sometimes overlook it. Just avoid the temptation of misusing it - you don't want people to feel as if you are screaming at them through the screen.

Each sentence is a story. Look at the movies and novels you find effective, and you'll see they have a similar 2-3-1 structure. They start off with something important and attention grabbing, followed by less important but necessary exposition, and wind up with the most important and impactful part. Effective sentences also tend to follow a 2-3-1 priority structure. Figure out what the most impactful idea in your sentence is and try to place it last; place the next most impactful idea up front, and the least impactful in the middle. You won't be able to do this with every sentence, and for the sake of variety, you won't want to, but try as often as you can to finish with the biggest bang. Like I did frequently throughout this paragraph.

I agree that voice and tone are very important but I think that one thing that new writers think is that voice and tone has to be very overt or “in your face” in order to count as voice or tone. The thing I think is important to keep in mind is that voice and tone can be completely subtle, in fact, most of the time it’s a bad thing, if your voice and tone would get noticed by a user. The goal of voice and tone should be to be consistent and communicate the goals of the business, but it should not be to be noticeable per se. A really good exercises to go look at a website you’re familiar with such as Apple or Spotify, or any other app that you use, and try to pick out how they are applying their voice and tone guidelines

Another point to remember is you don't have to use bulky difficult sounding words to come across as well informed... At the same time you do not need to dumb down your sentences to a preschooler level to write "simple" language. Finding this balance is very important. It has to however be a personal discovery. As you start writing consistently, you will find that tone and language. But don't deliberately try to sound grand or simplistic! The content is sure to backfire simply because it lacks authenticity...your tone and language become your voice and signature! Take time to discover it, rather than mimic anyone!

A very simple trick is to read the content in reverse (Bottom to top) Sometimes in a flow, we miss major errors in web content but if we re-read in a different approach we can find the errors easily
