How can you organize your image files for easy access?

I use Lightroom and, therefore, their cataloguing system. The way I manage my photos is this: 1. A folder for the year 2. Inside that folder, a folder for each month, numbering like this: 01Jan24, 02Feb24, 03Mar24 and so on. Then when I transfer photos from my camera card to my computer, they are put into the relevant month folder. From there they are imported into Lightroom, and I add things like the name of the place the photos were taken in, and anything else relevant to that shoot. Once images are processed and you've deleted what you don't want to keep, you can then go back and edit the meta information with anything else, such as the name of a bird. This way it's easy to find the shots I want by keyword searches or date searches

Here is the naming system procedure; Date Based prefix. Start your file names with a date in the format of YYYY-MM-DD. It ensures easy sorting and chronological order e.g If the image was taken on Feb 19 2023, it could start 2023-02-19 Descriptive Keyword Follow the date with descriptive keywords related to the content of the image. Be specific and use keywords that will help you easily identify the image later e.g Sunset_Beach Sequential Number(optional) If you have different images taken on the same date with same content, you can add a sequential number to distinguish them. E.g 2023-02-19_Sunset_Beach 01 so on.

For quick check, I keep my customer name and the event date as a folder name and for the images it will be unique number. I have added my profile details by default in camera. Incase if customer missed my contact details they can check the properties of the photo which was taken by me. I backup of the photos in 3 different hard disk and I will recommended my customer to use online storage like GDrive, OneDrive for storing their photos.

Additionally, it’s important to always use dashes as opposed to underscores for search engines and SEO purposes. Search engines like Google recognize dashes as word separator’s, but not underscores causing “run on” names that aren’t recognized.

I implemented Canto in my organization of 1000 staff members. It lets us, the contributors, tag and add keywords. Users are able to search by tag, keyword, image content (it has AI recognition) and other image metadata. So far, it has been super helpful with organization and applying folder access to groups.

My experience has been to carefully select and sort out similar images into properly named folders for easy access and organization. It makes it very less stressful to locate images and also keeps your images app or software clean and organized.

I tend to name my folders in following way: YearMonthDate-ShootName Then within the folders, I like to have the following subfolders: 01-Originals - This is where all raw files go 02-Selects - I use Photo Mechanic to select images I will edit, and move them here. 03-Finals - Once images are edited, I put the exported JPEGs into two folders (01-PrintResolution / 02-WebResolution)

My process is divided in 3 steps 1- Saving originals in external hard drive to dedicated folder. Example: Photo>Portrait/Product/etc (this comes in handy when you're looking for a specific type of photo as reference for a potential client or for your portfolio)>YYYY>MM>Name. 2- Importing to Lightroom: From the external hard drive I only import the files that I will be retouching into Lightroom in order for the photos not to take a lot of space in my Laptop. Here, I create a 'YYYY' folder and then>MM>Name. You can also add keywords to make finding a particular photo or photo-session much easier. 3- Exporting: In the dedicated folder of the external hard drive I create a sub-folder for retouched photos>Upload to cloud>Share.

To me; this is very crucial these days. Since we have gone mostly digital in just about everything. It is smart to have various locations for back-ups. I'm now up to 7 external hard drives that are around 8 to 12 TB each. I also have a back-up system on my computer that is through another company (Backblaze), then I also store them online on a platform that I have found to be the best friendly usable site. Smugmug. They don't hold my Tiff files, but the hold just about everything else. It is easy to access for both me and my clients. You never know when an outage is going to happen or a computer failure. Just keep those photos safe.

External Hard Drives: Regularly back up your image folders to an external hard drive. Keep the external drive in a safe location, separate from your computer, to guard against disasters like theft or fire. Cloud Storage Services: Use cloud storage services like Google Drive, Dropbox, or OneDrive to store your images. This provides accessibility from different devices and serves as an additional backup. Automated Backup etc.

Backing up your images is crucial. To start I never delete my SD card containing the client files until they are delivered. They are then downloaded onto my hard drive which gets backed up once a week automatically to an external drive. It does get backed up daily as my hard drive is also mirrored on Dropbox. Then the final backup is when the files are ready and are uploaded to my online gallery system.

I have two back up drives and I use a program called Karen's Replicator to automatically back up any new images on a nightly basis to both drives.

In every lab or shop I've worked we have ate least three hard drives. We maintain them by keeping at least two years of imagery and files and backing up every year at the end of the years. The year folder naming system is perfect for back up this way.

Batch Compression: Use image compression tools that allow batch processing to compress multiple files at once. Popular tools include Adobe Photoshop, GIMP, or dedicated image compression software. JPEG is good for photographs, while PNG is better for images with transparency (like logos). Adjust Compression Settings: Most image compression tools allow you to adjust settings such as quality level.

With the relatively low cost of storage, I tend to not worry about compressing images. However, every 2-3 years, I tend to clean out all unedited raw files. If clients have requested more images in that time frame, it is highly unlikely they will be needed. So at that point I am able to free up large chunks of space on hard drives.

Hard drive space is cheap. The only files I compress are the JPEGs that are resized for use on site like Facebook, Instagram, LinkedIn...

Image are selected for a separate folder - these are the images for reprinting and sales. Inside that folder are the files with original info, and then folders where the images are given titles, and cropped for printing sizes. A folder for 12x8 work, for 16x24...

In Lightroom I can add a number to my favourite images. For example 5 means 5 stars and those are my top images. You could choose to use a number for other things, such as family, your favourite type of photos or anything. Then you can simply do a search for those images by the number of stars you've given them.

I use stars on Lightroom, and all files are classified by date and events. All of my files are also stored on specific hard drives corresponding to the types of photos (sport, news, portrait, etc.)

My top 3 practices: 1. Folder/ File name clearly with the date. 2. Delete RAWs that aren't "THE shot" 3. INVEST in multiple ways to store your work + back up your work. 4. Go back through the archive often + do step 2.

Storage should never be free! Consider what you want for your personal portfolio backup. But unless you already formatted storage into the budget. Typically clients expect their media to be accessible independently, which is not sustainable or cheap! I recommend that for work you have no vested interest in keeping that your physical drives and cloud space be rented to clients looking to avoid bearing the responsibility of storing their media!

Pour gagner du temps il faut intégrer dans ces photos un maximum d'infos via le menu dans son boitier. Bien régler dates et heures, remplacer le nom par défaut des images par ces initiales + le numéro des images. Intégrer ses coordonnées complètes dans les méta données.

Es importante mantener el concepto de ir organizando las fotos y los trabajos porque cuando uno confía en la memoria porque hay ciertos evento que parecen evidentes, no siempre lo son tanto y además con el tiempo se van acumulando temas y la memoria comienza a flaquear.
