This is a key factor of the why and how we are targeting the audience. It is so easy to be rushed into planning outreach events as a knee jerk reaction to service changes or closures etc. It is important to agree a planning process with key partners in the shaping of the event / Identify the key elements of the event you want to get across / what form of delivery will be used to the target audience and what additional resources are required to support the participants throughout the event.

In addition to clearly defining the scope of the event and the audience you are intending to reach, it is also important to consider the other resources or information sources available to the stakeholders. You may have an amazing intent for an event, but if its the same weekend as another important event for the audience or causes an impediment to another vital resource, then it's not serving its original purpose. Or if there are already duplicate events, how does your stand out? If you experience one of these obstacles, then you could either change your purpose, change your audience, or see this as an opportunity to build community and collaborate with others to reach the same population by joining efforts.

Location is everything. Whether or not your event is accessible to the population you’re trying to reach is the key to its success. Find out where the clients you need to outreach to already go and have it there. Parking is also key - preferably plentiful, free and easy to find.

If someone calls the venue, will they be able to get all the information they need? Is the venue accessible for people who use wheels (wheelchairs or strollers)? Are there transcription services or other accessibility options? Can attendees make special requests? Planning ahead allows you to improve on the original plan and make sure that there is time for details that make an event special and barrier free for everyone.

When it comes to timing, weather forecast should also be studies, because no one would plan an event that participants will not be able to attend.

Not to belabor my earlier point, but the more time you allow for planning, the likelier you will be to insure an all around successful event.

Collaboration is a major key in community outreach that should not be thrown away. No one can be a Jack of all Trade, when it comes to community event. There will always been an aspect that you cannot handle and you will have no choice but to delegate duties. For instance, some outreach program might need the presence of the law enforcement agent. In that case, to ensure there is protection of lives and property, one has to carry the police along.

During my time as an outpatient psychotherapist and event planner for community events, I worked with a diverse clientele with a varying intellectual and physical capabilities. I found value in getting support from my social work supervisor and colleagues on the multidisciplinary team. Their input and insights was instrumental in tailoring the content, activities and materials that aligned with the capabilities and needs of the clientele I served.
