How can you monitor the Quality Assurance audit or review action plan?

Adapt it in the context. It’s just not a rule book 4. Monitor the Non conformance Age. If NCs are taking long time to close there may be a hidden pattern 5. Analyse process area wise weakness of any system

The frequency of updates will depend on the complexity and urgency of the action plan within the organization or as per the dedicated project. Establish KPIs to measure the effectiveness of the action plan. These KPIs might include reduction in defects, improved process efficiency, or increased customer satisfaction.

Some helpful tips! - Always baseline, specially when historical data are available. - Remove odds. - Understand the big picture, look at the pattern. - Devil in details; apply what I call it tell me/ show me approach to get your data assumptions properly. - Accept certain margin of data errors.

If the results are positive then it’s great and in case if results are negative, necessary actions can be taken to overcome it. Furthermore, tools like Microsoft excel, Google Sheets, Power BI can help in this process. Also transparency in reports can keep all stakeholders aligned. Above process can help in quality improvement and achieving desired goals.

Conduct periodic reviews with management to discuss the progress of the action plan. This allows for insights into any roadblocks, reassessment of priorities, and reallocation of resources if needed. Audit finding report and subsequent action plan determined based on the root cause analysis need to be communicated to relevant stakeholders. Action plan implementation progress needs to be monitored and communicated periodically in terms of timeliness of action closures, action effectiveness etc. These metrics can be discussed during monthly/quarterly quality data review meeting and management review meetings.

Providing the information through tiered accountability is an impactful method. Having the manufacturing leadership report out on the KPI’s places much of the onus on the hands that have the greatest impact on the overall quality.

Communicating does not mean showing information; it essentially means conveying information behind data. While referring to QA matrices, it is important to communicate the results/data along with the reasoning behind values and, furthermore, the next steps of action. Reporting is an integral part of auditing and process improvement. Every data point in reports serves multiple stakeholders, and hence understanding the stakeholders' perspective with reference to what they need as information from QA matrices reports is crucial. The best approach is having flexibility to add/remove data points in reports. Getting early feedback from stakeholders while creating reports about their expectations helps in crafting relevant and reliable reports.

When I was able to work my team was fortunate enough to have access to quickbase and a strong developer so all data and metrics had a home that was reportable and available to our customers we started me creating records that included non functional requirements that were the targets for testing results and ending with the actual results making it easy to evaluate success or failure

When making changes to your action plan, be realistic about the resources and time that you have available. Don't try to do too much at once. Be flexible. Things don't always go according to plan. Be prepared to make adjustments to your action plan as needed.

I would start by first looking at the over-all picture. Analyze the previous audit results and come up with the strategic plan to address the major non-conformances. Communicate to all mfg personnel about the plan to implement Manufacturing Self Audit ( MSA) to be peformed not by QA but my manufacturing people. Periodically monitor results and act on what needs to be done…include a quality dppm target as key performance initiative to encourage everyone to work as a team to meet the define targets or goals .

You need to have a periodic update of all SOPs to remain up-to-date on new trends, regulations and practices. Identify the Critical Control Points to minimise the loopholes. Internal audits and meetings are great source to collect and evaluate data at the time of SOP writings and reviews. The QA practices should be dynamic.

I would add that its a great way to discuss the reports on demo, or on sprint review. It all depends what the results are, if its good I would prefer discussing them in front of a client. If not so good, we would discuss internaly and make sure all issues or bug clusters are addressed prior presentation. Again, all depend on how system is set up.

I considered and call the QA audits as evaluation. Near to me QA evaluation must be conducted to highlight the system weaknesses, recognise the strengths, make an action plan for the existing opportunities and future threats. There is a fine line between the observation and the experience, I used to experience the system, processes and workflows rather policing and deliberate observations. Near to me, we must build a trust before, during and after the evaluation by showing empathy, logic, competence and authenticity. Communication and constructive feedbacks are vital for an evaluator. Action plan must be developed in a simple, effective and SMART way to achieve the desired results.

Most effective way is by doing Quality Management Review meetings monthly with the Top management. It helps in collective decision making for items which needs improvement based on audits. Action plan can implemented and in next audits improvements can be seen in comparison to initial audits.

Following are the simple steps to Establish audit process and checking the audit effectiveness: 1) Define the audit objectives, scope, audit plan and establish the audit checklists. 2) Use a simple NCR format Write the Nonconformities with adequate evidence and link with specific standard, internal or customer requirements. 3) Identify and Nominate competent auditors to conduct the audit 4) Communicate the NC report to the concerned process owners. Get the Corrective actions from process Owners. 5) Check the effectiveness of the implemented actions and close the NCs. 6) Track all the NCs and keep the NCs list for checking the effectiveness in every audit. Keep reviewing the audit KPIs and track the NCs and Actions to ensure Sustenance.
