How can you manage a volunteer team with limited resources?

Getting to know the different members on the team. What are their interests, strengths, what are they passionate about and delegating them to different activities based on those variables. Having team development exercises, being understanding, kind, courteous, the same principles apply if they were employees. Ultimately, volunteers are taking time out of their day to contribute to a cause.

Sometimes volunteering is driven by passion or desire to serve/grow in a given sphere of life. A project with a clear vision and mission may be enough motivation to join or stay longer as it offers a clear path of growth and identity to its team. Most team members will easily identify with a clear vision and mission and gradually might even personalise it and own it as a life purpose hence willing to work even with limited resources.

First of all, you need to find volunteers who share a similar passion for your project. You would be surprised what it is possible for people to accomplish with little or no resources when they are working toward a purpose they believe in. When you put these people together in team situations, it amplifies their efforts and inspires them to look in unexpected places for additional help. As momentum grows while you work toward your goal, more and more people will see the level of engagement and excitement and want to be part of the process.

The first and most important thing I can do in managing a volunteer team is to trust in the Lord with all of my heart and lean not on my own understanding. As I acknowledge him in all my ways, he will direct us. That is based in Proverbs 3:5–6. Praying for the team and our mission in my personal prayer time is essential, and it is important to pray together with the team. I also look to others for wise counsel. I look to the person who oversees our team in my organization, and I look to others who are leading similar teams in other organizations like ours. Even though the responsibility for leading the team has been given to me, I don’t isolate myself or our team. We learn from and with others.

People always want to go where they will grow. Volunteers usually seek to improve their knowledge or explore the opportunities that are in a given area of interest/focus so if your project offers avenues of mentorship then you will always have people wanting to join and those already in the system seeking to grow/improve themselves further within the project even when its evident that the resources are limited.

One thing I have found helpful, is that the volunteers you recruit should be passionate about your mission and be excited about supporting and contributing to your project. Otherwise, you will have a bunch of social loafers on your hands who you'd have to babysit. Also, trining them gives them extra skills, makes them understand what your goal for the project or program is. Also, training helps them add on the exact skills they need to support your project and drive it to success.

I agree, but it’s more about making your volunteers feel valued. They are donating their time because they care and because they are eager to learn. They will continue to volunteer because they know their time is respected and so is their opinion.

People want to feel like they can make a difference and their work will have an impact - whether that impact is on the project or their career. Motivation comes in many forms. Look for volunteers who can remain motivated with the opportunity and rewards that you can offer in this position. Remember, not everyone is looking for the dollars in the paycheck. Public recognition, title, and experience can all go a long way. Just be honest about that in the beginning.

What is most helpful in the recruitment process is identifying a small nucleus of strong supporters. Those are individuals you have participated with in past endeavors. Facilitate a online introduction and outline of your project. Create a learning frame work of time by creating breakout group or limited cohort.

Nothing is more frustrating as a volunteer than to show up for an event only to find needed materials are missing, the scope of the work hasn't been clearly defined, or there's general confusion as to what is going on. To cultivate an enthusiastic and reliable team, it is vital to create and publish a calendar of events so volunteers can schedule their time accordingly, have clarity on the scope of work to be done, and all necessary materials on hand, so that all those who are donating their time and talents can truly have the impact that does make a profound difference in the community.

Since you have limited resources, communication is perhaps the most important part of volunteer coordination. Here are some tips: - it is necessary to have continuity (without major breaks in communication) - give short, clear and precise information - hold regular weekly meetings - it is necessary to set goals that you want to achieve as a team - everyone should have their own responsibilities - set a deadline for each assignment

Everyone communicates differently. Personally, I prefer text message via cell. I think most people find text message to be the easiest and fastest way of receiving information. I think that most parents are most responsive to text, but some others prefer email and social media as a way of receiving information. One must communicate with a link to a brief message on what the opportunity entails and the date and time of the volunteer opportunity. The organizer must text the volunteers reminders of their shift in order to ensure the volunteers report to their shift in a timely manner.

No matter how small it is, it is the thought that counts. Appreciating and recognising your volunteers give them the drive to continue to contribute more to your program and also to other programs that will benefit people. Aside those listed here, inviting them to office parties, team building events, award ceremonies are a few way to show you appreciate the work they have put in and their contribution to your program.

Learning the importance of using "we have managed to--" instead of "I have led the team to---" when presenting about acomplishments of the team. Sometimes recognition of the smallest of contributions one gives is all that they desire. When working with teams if the lead intentionally recognises and appreciates contributions by the individuals/voluteers; there is usually improved relationships and growth/achievements.

Not all compensation needs to be financial. Gratitude and empowerment can go a long way. If volunteers feel needed, wanted and respected and the work is fulfilling … you can move mountains with??

One principle that is fairly universal: people want to feel seen, heard, and valued for their efforts. Public praise and appreciation for team efforts is a leadership trait that can help build loyalty to mission and to one another. It can be coupled with constructive criticism when necessary, but the recognition for effort and input should always come first.

Remember to show gratitude as much as possible by saying thank you, remember their name, and always remember to say “hello” every time you see them. There are not a lot of resources in public schools and non-profits to show tangible rewards, however you can seek donations in your community from grocery stores, restaurants, and even movie theatres. For example, our PTA board was able to work with a restaurant to get a small discount as well as set a menu so we didn’t go over budget. We were able to hold a volunteer luncheon. We invite everyone that has volunteered that year, which is roughly 300 people. 30 people RSVP’d and they were our more frequent volunteers.

Actually I'd put this as step one. Learn, network and grow to help you be better and more knowledgeable. What is your style? Can you delegate? Do you know how to train, review and encourage others? Join local and national volunteer leader groups. Learn how to train leaders who are volunteers. Know your strengths and weaknesses. Find others who have strengths you need and engage with them and have them help you in your weak and blind spots. None of us can be great in everything! Seek out certification and training to keep up with trends. Seek others in field and set up one on one chats. Be mentored and be a mentor. Always keep learning. Develop volunteers who can lead groups of other volunteers. Create roles for volunteer leadership

Another way to build confidence is to become a volunteer manager again. Hopefully, the next team you lead will have an even more challenging assignment. The old saying "practice makes perfect" applies here. The more you lead, the more comfortable you'll get. The skills you developed while at your volunteer experiences, should easily transfer into your future paid leadership position.

Personal growth is the most fundamental part of leading others. I would take time to understand my strengths to discover who I need on the team to cover areas of weakness.

To the limited resources point (assuming financial and/or time), I believe an unlock is in assembling a diverse team of invested volunteers who (1) share a passion for the mission given proximity to the cause or community and (2) offer a great mix of the skills and expertise needed to execute - such as project management, logistics, outreach, etc. - such that the giving of their time doesn't feel like work to them because they're excited to share in something they love & love to do.

Recruiting skilled volunteers is a wonderful way to make the most of your network, and volunteers often feel even more gratified knowing that they are giving in a way that makes a unique, deep impact. When volunteers give time to consult, train, code, analyze or clean data, or complete research, they are motivated by concrete deliverables, gratified that they've made a concrete contribution to your mission.

Literary, by the time you use volunteers, you must be lacking resources. With resources, you recruit the best from the market. However, volunteers are not free of charge. You have to committ resources to cater for the bare minimum that can make them happy. Opportunities for career progression and other incentives are big motivations.
