I've executed many successful events with limited resources and budget. A couple tips: 1) Utilize your relationships to get a deal, exchange one value for another and ask where one vendor or consultant can bundle offerings 2) In the world of PR, offer exposure as opposed to paying for a venue fee. So for example, you will promote their restaurant or new venue, and will ask attendees, influencers to do the same. 3) Offer a perk or service at the event that draws a crowd, doesn't cost you money but helps promote the person offering the service. For example, one time I invited an up and coming photographer to do free head shots for a business event. Attendees loved it and the photographer got more business.

- Set clear objectives and prioritize needs vs. extras. - Utilize technology for tasks like registration and communication. - Streamline processes to minimize waste and optimize resource use. - Seek alternative funding sources like sponsorships or partnerships. - Emphasize creativity in problem-solving and negotiate with vendors. - Cultivate a dedicated, adaptable team willing to multitask. - With careful resource management and collaboration, successful events are achievable despite limitations.

You can do it cheap, fast or well, but not all three. Clear priorities are essential when executing with limited resources. Be ruthless in cutting back on frills and extra nice-to-haves. Focus on the absolute can't-miss items and manage expectations on the rest or you risk failing on the absolute necessities because the less important distractions got in the way.

Smartly?? The answer depends on whether you are doing this on your own or through a professional. My immediate answer would be: work with a super star DMC! However, assuming the former: 1. Do your homework: find the best companies / people to work with, then engage. 2. Negotiate hard: be open about budget and be honest about how far you can go. The best people / co's can be very flexible. 3. Set clear objectives: saves valuable time and resources & keeps everyone on point 4. Execute: seems rather obvious but this is ongoing. Make a decision & then execute - each step of the way. Events are hard. Your choice of the right partners is often the difference between success & meh! Don't compromise on this even when you have to on your budget.

Before you start an event,you kindly need three main things in place briefly as follows: 1.Set the purpose 2.Set time and venue 3.Established possible teams 4.Identify important logistical items 5.Set your budget 6.Mobilise ressources and partnerships 7.Organize important meetings to engage needed personel.

Taking numerous steps can be time-consuming and may not guarantee success. However, by focusing on securing a significant partnership, you can potentially address multiple challenges and achieve your desired outcomes more efficiently. This approach allows you to consolidate efforts, resources, and expertise into a single path, leading to greater impact and effectiveness. Negotiation goes both ways. If decision-makers prioritize something that's out of budget, be clear that something else may have to come out of the plan to accommodate.

Oooh this might be my favorite. The good news is that both technology and post-pandemic habits have created more flexibility than ever. The bad news is that is true for everyone else too. Streamline and remember that the main point of any event is to learn something new, see someone new or be seen by someone new and have a reason to come back next year. If you never lose sight of the core reason for doing an event - and stay true to delivering for your key audience they won't care if you have a drone show or 10 minutes of a famous person sitting next to a fake fire.

The best events inspire emotions, and is not about how expensive the location, how extravagant the decor and entertainment, how famous the personalities are. We have done very successful media and client events on a shoestring, with simply honest storytelling, well-prepped client spokespersons, streamlined and catchy demos and presentations (certainly NO PowerPoint diarrhea), and delightful and unique food catering, at unique locations journalists want to try out. These could be historical buildings like museums, never heard of but interesting history and architecture, and places with folklore, and more. We as publicists should be at the forefront of finding stories for clients.

Cross training and pre designated back-up duties can allow a smooth flow of operations. Some of the largest problems come from someone calling out sick or sections not having enough trained members to help.

Work with team members who bring value and leadership knowledge to the project. Your members need not have particular knowledge about the project, but are able to lead and inspire.

Partner with other organizations, businesses, or community groups that share your event’s objectives or target audience. With this you’ll leverage partnerships.

Anticipating and preparing small steps can have a significant impact, especially when it comes to managing time and prioritizing tasks effectively. Even when resources are limited, focusing on activities that yield the most significant outcomes can make a difference. Additionally, involving influencers within your organization can add value to your plans and enhance their realization. You'll experience that there will always be things happening out of your control. Your boxes are being held at customs, the printing company forgot to print your banners, and one of your colleagues is sick. Think of the most obvious things that potentially can go wrong, and then think of what you would do if that would happen.

Depending on your agency or business structure, have the appropriate person or team defined in advance to be the “final call” on cancellation of your event. Especially in emergency situations, time cannot be wasted on who has final say so.

It's true. Today the mantra is to 'do more with less'. But as someone who has done MANY events, the first question I'd ask is "Do we need an event?" An outstanding event doesn't just fill a room, it creates an experience. They are meticulously planned, strategic and often have a plan B if something goes wrong (which it will). This is very hard to do on a shoestring budget (not impossible, but very, very hard). So in this scenario, I'd carefully evaluate the objective, be clear on ALL costs, and be open to other options. If after this assessement, it's clear that an event is the right approach...well guess what? You've just built a strong case for asking for more dollars! #doitright

One thing I have adopted, with any of my research projects that require additional funding is to find a related project sponsor that you can offer research data in exchange for their funding.
