How can you make your budget and forecasting tools more accurate?

Budgets in projects to be tracked minutely from the day 01 of the project, this is something where most of the organizations are lagging. Generally, discussions on Budget happen once project is on halfway or going to overshoot the budget. Proactively monitoring must be done. Like Project progress review , Budget reviews should be done by PMOs. Project planning team usually work only on Progress monitoring wisely , while following activities to be effectively done by Planning teams - 1.) Budget Preparation and approvals at early stage of the project 2.) Review Budget periodically 3.) Track the changes and approvals to be taken from PMOs In the End , minute focus must be given on Budget to have an excellent control.

Actually I find understanding the scope of the project is a great challenge for all the parties in the project specially in the Turkey Projects. From my experience, everyone from the stakeholders in the project has his expectations, and vision for the project but not always they aligned together. To have a common understanding and identify the scope, the parties of the contract must agree with a simple language about the details of the scope to reach a very well understanding of the scope.

While my biggest tip may not help those starting in year one of budgeting, it is so critical to perform continual retrospective reviews of performance. Robust discussions about the the drivers of those differences and incorporating those into future budget models is critical. We often don't see patterns in each individual year, but constant refinement of models provides for 1) more precise future budgeting, 2 ) identification of systemic issues within the operations and, 3) holding management and senior leaders accountable for their performance over time.

I miss the days of basic plan flips and pre-work meetings. There is so much value in getting physically together with talented and conscientious partners and team mates who have done their “homework” to go over a project and what they have found.
