How can you handle client requests outside the scope of your videography contract?

Ensure work terms are put in place from the offset. Negotiate some wiggle room for client extras (as is always the case). Sign off and go create the best damn work your client has ever seen.

When a client asks for things that aren't in your videography deal, here's what you do. First, check your contract to see what was agreed on. Then, talk to the client and explain that their request isn't part of the original deal. Offer to discuss their needs and find a solution that works for both of you, like adjusting the contract or giving a separate quote. Be clear about what you can and can't do, and keep a record of your conversations. Finally, follow up in writing to confirm any changes or new agreements.

Start the project with a clear, detailed written estimate or contract that the client should sign. This should be standard practice. By defining the parameters and costs at that outset it's easier to handle deviations later. Be professional. Offer to revise the estimate saying, "Yes I can do that for $XX and XX hours additional." Even if you decide not to upcharge, you've at least attached a value to your additional work.

I shot a video for a real estate developer showcasing their new apartment complex. The initial deal focused on just filming the rooms with key features like the kitchens, layout and great views. However, during our discussions, the client mentioned wanting to capture the "lifestyle" aspect of the community. I saw the potential for future work with this client who owns multiple properties, so I decided to go beyond the initial deal by filming residents at a rooftop yoga session, their large common areas, and their skyline deck. They loved the video and I ended up getting more work out with adjusted pay. When negotiating, take into account whether the client is worth going the extra mile for. If the ask is too big, decline the request.

It's common for requests to deviate from the initial agreement, so it's essential to address this in your contract. For minor requests, you can acknowledge them as manageable but indicate that they typically entail an additional cost, denoted as X. For more time-consuming tasks, it's advisable to consult the contract and inquire if the client wishes to proceed with the associated extra charges. Bigger alterations that significantly alter the project scope warrant a deeper conversation to understand the rationale behind the last-minute changes. It's necessary to include provisions in your contract that address each of these scenarios.

Partner up with other people. The videography market is tightening up, due to various media consumption shifts, technology and increase competition. Sometimes, you can't just stick to 1 skill. But of course, you can't possibly do everything well can you? That's why it's so important to find partners and friends whom you could potentially collaborate on jobs that are scoped beyond your means. Clients love it if you can solve their problems. Try your best to help, and most will remember it.
