Maturity level entails a deeper, broader analysis, encompassing Business Value Streams, not just IT. Knowing this, the ideal capability level for handling IT service integration starts from Level 3. At Level 3, the practice is well-defined, serving its purpose systematically, utilizing dedicated resources, and benefiting from contributions of other integrated practices within a service management system.

IT service Integration in my view has 4 distinct dimensions and each of them needs to work harmoniously to make your automation work effective. 1. Request ingest and flow through out the organization in a seamless and transparent way 2. State awareness of integration activity 3. Internal Staff empowerment 4. Governance and Accountability Each of these have different different scope and objective from Automation perspective. For example Governance and Accountability might have objective of 1. Less bottlenecks in terms of approval and setting up threshold for approval 2. Reporting and visibility of SLA at all level including service/product (not at application or infra in silo) 3. Setting up Control Audit to make sure all functions works

NOTICE: while integrations & automation offer many benefits, they also bring a significant & DELAYED operational burden not initially apparent. Without the right goals & plans, the operational burden will overtake the benefits & stop your progress. Your tools turn from assets to technical debt. Minimizing that burden is challenging because of its nature. Increasing the benefits is much easier. With the right goals & plans, your outcomes can exponentially build upon each other, where 1 + 1 equals 5, and the net outcome is continually positive.

Think about it as you had breakdown in the middle of motor way and avenues you have in hand to quickly restore from such situation and minimize your wait time

I would like to suggest a specific and simple point of view (rather than saying align with your business priorities etc.), and suggest that - 1. Primary objective of IT Service Integration is to ensure customer (stakeholder) satisfaction - EVERYTHING else is secondary 2. Primary goal of automation in this area is to enable to end to end orchestration. Too many automations /RPAs today address just a part of the flow, there by creating more steps or more work overall rather than achieving end goals!

I don’t think you can choose the “right tools” no matter what you actually choose. It’s more of selecting a “Fit for Purpose” or “Best Option of a Solution” at that time. If you find that the process in selection is quick and easy, I would be cautious on your decision. A consideration is the TCO (Total Cost of Ownership) and factoring Risk of OSS (Open-Source Software - It’s Not Free and could create technical debt or be the reason for a cyber security breach to increase your TCO). Read the fine print on SLAs, look out for the IP, and finally Skill sets need now and into the future. Seek a provider whom is open to working with you long term and shows unique interest into your deployment aligned to joint win-win outcome’s and objectives.

All good responses. In my experience, the planning, execution monitoring, communications, etc. are all absolutely key. That said, the first step before automating anything is to understand that your processes are well developed, understood and executed. Automating a poorly executed processes only facilitates the poor execution.

Start with the basics. What services are you going to automate? Choose process experts who manage those services today to script out the process. This is sometimes tricky as this person is about to lose his/her job or be asked to do something different in the future. So change management, coaching, mentoring and communicating are essential. Automation is only as good as the script that is written to automate. Ensure you test to validate with actual end users to ensure UX.

The key to long term automation success in IT is to think big and act small. See my note above for question 3. If you do SMART, at first things will be great. But the operational burden of your automations accumulate & stop your progress. The solution? Reduce the complexity if you can, but more importantly, get higher benefits to compensate for the burden by connecting the dots. Do NOT rely on short term ROI of automating random tasks. Instead: 1. aim to transform an ENTIRE process (think big) 2. do it one task at a time (act small) until you cover the entire process When you connect the dots, you find that 1+1 = 5. The benefits will be much higher, making your net outcome always positive despite the complexity that you added.

The use-case driven automation works best. Automation is a process shortcut and at the end serves to deliver a business outcome. Measuring the outcome and the efficiency gain with automation will give an indication of the value of the exercise even before it gets implemented. But running this evaluation exercise at the end of the implementation will put it in the perspective of the business. Having someone to run this continuously is recommended.

Too often, IT rushes into service integration, automation, and orchestration with a focus on reducing repetitive tasks. It is, however, pivotal to frame each use case correctly as automation can be a goal but never an outcome. Automating responses to events simply to shift a repetitive workload from a human to a system or machine does not address the condition that triggered the event in the first place. From a quality and Lean perspective, reactive automation does not address variance and waste; nor does it fully mitigate the risk of outages. Each use case must be understood in terms of proactive and preventative automation and orchestration. This fundamental shift in thinking will result in performance, risk and cost optimization.

Approach ITSI-A holistically. This integration and automation should not be thought and done in isolation. Also, properly map out your business processes to ensure tight alignment between business needs and ITSI-A. As these come online, publish them in appropriate enterprise catalogs. In some cases, you will need to conduct both SME and end-user trainings for the proper usage of these integrated systems.
