How can you ensure your product documentation is accurate?

I strongly believe in the Agile Manifesto and my goal is to reduce team's effort in documentation. Hence, I advise that if during your journey, you do things right - the documentation will self create! With that I mean - if your User stories, Epics, Product release notes, etc. are really well rounded and good during product development, you can use Jira to automatically get product documentation. A lot of teams do not use Jira features like Release notes and Release versions.....A proper Jira release version has the right module names, stories and notes. For developers, Confluence pages tagged to stories is a must while developing. I have seen Good devs creating product architecture, module architecture pages, etc and it met all needs!

Effective Product Documention is about draft depth & yet keeping it consise. 1.Heart of Product Documentation is the Problem Statement. Make it simple,detailed & data backed. 2. Impact of the problem, call out metrics. 3. Painpoints - list out the points in the Range of high critical ones to low. 4. User Persona - Derive them well,so that they map to the painpoints. 5. Current State. 6.Solution Segment - list out solutions that are solving key pain points. Priortize them. 7. Call out feature sets of this Solution. 8. Tie it to a epic link. 9. Have a high level GTM plan.

Integrating user feedback & usage data : By improving documentation accuracy by adding user feedback and real-world data. Introduce a feedback loop through surveys or direct user communications to understand the user's needs and challenges. Use analytics to monitor which sections of documentation are used most frequently, thus letting us know what users need & may encounter problems with. Update the documentation on a regular basis considering product changes & user feedback. Work with the customer support & development teams by reflecting upon real-time user experiences. Endow it with practical use cases to make the documentation relatable and user-centric.

Straight-up Bribery - Ask an up-and-coming motivated person, typically an operator or new hire, to dig into the documentation and give you specific feedback on inaccuracy and take them out to lunch or reward appropriately, and make sure to acknowledge this with their supervisor. It's not hard; it takes time, and that's why it often gets ridiculously out of date. But if you take some time and focus a motivated person to assist you, you can amplify your results. Then all you need to do is review the suggestions and make sure they make sense and make the changes.

It is important to have clarity about who the stakeholders with access to the documentation are. In engineering documentation, it is common to address technical issues, but it should also be accessible to audiences outside the technical field, when necessary.

It is extremely important to have standardized and assertive documentation, without excess or lack of information. Visually, it is important to appear that all documentation was done by the same person. For this, it is ideal for the company to have internal engineering documentation standards.

Including examples and screenshots adds a practical dimension to your documentation. Visual aids enhance comprehension and provide users with concrete illustrations of the information presented. This is particularly beneficial when conveying step-by-step processes or demonstrating specific features.

Documenting project is never been a creative stage. It’s something we do by the book. Note that every company has different approach for documentation and the way of having this handover but the result is always the same. Also take into consideration that documentation yes it’s something we do at the end of the road but realistically it’s about information we do prepare while we are delivering the project.

Version control is critical. There will always be changes that end up breaking the product. Having a solid version control methodology for both technical and non technical workflows are crucial to ensure teams can iterate fast while being protected from the downsides of faulty changes!

We just observe the first 5 users! Give your product documentation to 5 users and don't talk to them. See what they do on the product! Adapt, fix and give to next 5. This iteration would be mostly it!

The only way to ensure that documentation is correct is to test it. Many QA departments resist testing documentation, but others are receptive. Work with the QA people to create a test suite. Testing docs can be time consuming and labor intensive. Perhaps AI can help here.

Richard Mateosian hit the nail on the head. My best documentation projects included me in the testing. It isn't always the case that other departments will include the writer in development but it certainly is a benefit to the company and the customer. In one case, I was able to find a bug before the system was implemented. It was a data entry system and had a line of code at the start that caused the entire day's work to be deleted if an unmentioned step was not taken before logging off. Testing can be enjoyable. We can be the Sherlock Holmes of systems development.

Thorough Research: Gather accurate and up-to-date information from reliable sources before documenting any details. Clear Communication: Clearly understand the information you need to document. If there's any ambiguity, seek clarification from relevant sources. Document Sources: Properly cite and document your information sources to maintain transparency and allow others to verify the accuracy of your documentation

In my experience, here are some iterations to prepare and refine product documentation in this case Manual or Dictionary or Helpfile or maybe even a Playbook. First iteration - The document is written by whoever has created/ developed the product Second iteration- Whoever has gathered and analysed the Business Requirements/ Functional Analyst/ Architect Third - Quality Analyst who tests will give inputs Fourth - Product Manager align with vision, features, usp…all the stuff that makes it market ready Final iteration the technical writer will tie it all up together with product manager the diagrams, flows, scenarios, validations, usage cases, performance grids, usp , features, benefits that resulted in the iterations above
