How can you ensure that your data collection aligns with grant goals?

Performance indicators and progress monitoring are great! Just be sure all that you’re using actually measures your grant and its implementation and impact toward desired outcomes.

It has been my experience that the mission of your organization and the underlying hypothesis of what you believe to be the metrics you need to achieve do in fact dovetail. So with this in mind, you need to seek foundations internationally that have some interest in your cause and write them a letter of query. A sort of passing a note across the playground to see if there is some interest in your project and what you hope to achieve with their funding.

The data collection for a grant funded project should always be aligned with the SMART goals that are indicated in a given grant. The one piece that is not usually included in the SMART goals of the grant is the methodology for conducting data collection. This component should ensure fidelity and efficacy to ensure the measures are documented in a reputable manner.

Before you start collecting data, you need to understand what your grant goals are and how they relate to your project objectives and activities. Your grant goals are the specific, measurable, achievable, relevant, and time-bound (SMART) outcomes that you expect to achieve with your grant funding. They should be aligned with your project logic model, which shows how your inputs, outputs, outcomes, and impact are connected. You should review your grant goals regularly and communicate them clearly to your team, partners, and stakeholders.

It's truly important to know how to correctly put together SMART goals. The area where I have seen it missed the most is in Measurable. Be very specific and practice or get input. Be willing to get outside help if needed.

It is important to situate the data collection plans also on what already exists within the initiative. While setting parameters for data collection always be mindful of how that data point will help you improve outcomes or help you show the shift. And once you prioritise data points that are critical and throw the fluff away have even ways to cross verify what that data says and implies. Data collection is an ongoing process and learning’s from it should not wait for grant or programs to end but be used through the process to make any necessary shift.

Make sure you have a great proposal outline, a timeline to keep everyone on task, the best thing I have ever used for any Partnership or stakeholder is keep your MOU / TOU to the pint drive it home and line up your smart goals uniform like your program goals.

Data is absolutely important and should be built into the programmatic supervision of the project. However, it is imperative that the stories and the faces of our beneficiaries shines through and will not remain in the background as stats and figures are moved to the forefront.

Developing several solid sources for data is very helpful to ensure accurate data and outcomes. Comparing the different data sources assists determining the best results. Questionnaires, related documentation, meetings with groups are some of the many methods utilized.

Have this conversation early, during the grant writing process. What are their concerns? Are there any data that they track that might be nice to mention in the grant application? Remember, the grant writer, program manager, and data collector all want the same thing - to fulfill your mission. Work collaboratively from the beginning, keeping in mind that you have the same goal.

Quality control should be done on the data frequently (ex. Monthly) to identify potential errors and discrepancies before they pile up. This should be done at multiple stages throughout the process. Data collectors should remain flexible as data collection demands can change in a grant based on how well the surveys/assessments are performing and feedback you receive from clients/staff. When it comes to the data tools and assessments, using evidence-based tools is preferred, however if using a locally generated tool, it’s important to only request and collect the minimum amount of data necessary to address goals and objectives.

Once methods for data collection, storage, coding, and analysis are agreed upon, several means for ensuring quality may be applied. Each should be feasible in accordance with project design. In addition to those already suggested, employing multiple independent analyses and engaging in group discussions and consensus of data quality are two examples. The qualification of evaluators is also an important aspect of this process for data quality. It should be noted that data and information are not always the same, depending upon one’s perspective. Data may be considered information following quality assurance and when used in decision making.

Data collection is meant to tell a story. It's meant to paint a picture. It's very important that we do not skew the data to make ourselves or organizations look favorable. Tell the truth in your data and preserve the integrity of the collection. It will make our organizations better in the long game. Playing the short game gets us a ticket to nowhere land.

If the granting agency has a sequence of grant mechanisms that build on each other (e.g., from prototyping to scaling), then you could collect some data now to be used to support the application of the next stage grant (e.g., a mini case study or pilot).

Actively leverage the collected data for ongoing improvement and communication. Regularly analyze the data to derive insights, identify trends, and assess progress toward grant goals. Communicate these findings transparently with stakeholders, demonstrating how the data is contributing to achieving the grant's overarching objectives. In my most recent role of DEI Content Manager, I inputted the analyzed data into Impact Reports, and shared the findings with the Product Department ensuring transparency.

Using database tools with dashboards is an excellent way to get reports. But planning ahead so that the metrics that are extracted are in line with the goals of the project is crucial. Having a system of metadata that allows for easy and consistent retrieval makes for more impactful reporting. As well, many dashboard tools have excellent data visualization tools that can be quite effective if they are provided with clear information to demonstrate progress against goals.

Data must be used rather than just collected. Use data in team meetings to help employees understand their programs better. It can also be used to celebrate success, not just failures.
