Only with the right team in place, you can confidently invest your time explaining them the vision and delegate responsibilities knowing they cross the finish line. or else you are dousing bush fires all day.

Communication is key. Once you have a proper plan together, make sure everyone is aware of their tasks. Set checkpoints and there is great value in having team meetings. Key people around a table, achieves alot, but be careful to keep it structured and to the point.

My team & I had to produce a short film with a tight deadline. We began by outlining the film’s narrative arc, identifying key scenes, and setting deadlines for each phase of production—pre-production by week 1, principal filming by week 3, and post-production by week 4. This clear roadmap provided a shared vision, ensuring that we were all aligned and knew the expectations and their role in meeting them. A well-defined scope prevents scope creep and proper alignment. A critical thing when working under short deadlines. By setting these specific goals, we could efficiently allocate resources, manage our time, and maintain a focus on our objectives, leading to a successful project completion on time.

It doesnt have to be a big executive or someone who charges heaps of money, but rather a grounded organized person who is also passionate about the artwork. While calendars and objectives and milestones are important, it is important to have that person who connects all people working on the film but also keeps track of time and the team on schedule. It could also be one of the members already working on the film if your budget does not allow for more people. But after years of experience, a producer for any film project is as important as the director and scriptwriter.

“…and make sure everyone involved in the film project uses it consistently.” Good luck with that! Nothing beats a real human who is an organized producer or production manager. Forget group project management software or group task lists. Waste of time to maintain. They don’t work unless every single person is on board and they never are. And it’s even worse if you have a team with mixed generations/age groups. Hire a solid producer and let us manage people and the schedule directly, one-on-one, deadline-by-deadline.

I'm sure there are better versions but Google Sheets is great for assigning tasks and commenting and marking as completed. I have used that more than once. Also just have a clearly written list of procedures/expectations (I.E. When an editor turns over a locked sequence, it must live here and the tracks must look like this or it is not locked). Be the Jerk if you need to be but that is what it takes sometimes.

Being aligned and informed at all times is crucial. Use tools to create department groups and overall contact points on mobile and email. We usually make it simple. Google sheets and WA groups. Regular in person and online meets. Brief and concise. You also don’t want to drown in details and spend too long discussing when you need to be on site/set. It’s also crucial to make it clear which dates on the timeline are hard deadlines.

PrePPMs, PPMs. They are the cornerstones for making sure that all parties are aligned ahead of the shoot date. Weekly or Daily check-ins for larger projects are also key tools for ensuring that all parties are aware of everything moving forward.

Communication is key when multiple teams collaborate towards a single goal. This can take multiple forms which the project manager can decide depending on the time constraints, location of the teams and milestone deadlines. From short conference calls, emails, progress reports, Zoom meetings, etc. If you take your teams’ styles into consideration, you can find the best approach.

In my experience it goes back to knowing how long the details will be pending, and understanding the physical requirements to execute the story/script/shot list. Once you’ve worked the process enough you will begin to appreciate a routine that works every time. Communication can’t be underestimated. As the key voice for my team, I prefer to listen intensely and update new information to my departments daily (just once). Finally, an experienced AD on projects that require a high level of logistics and precision breakdowns is indispensable. If you can’t count on your timeline/schedule, re-evaluate.

The only certainty when starting a new project is uncertainty. Managing chaos is what makes the great producers stand out from the good ones. Assume the worst. Prepare for the best. And when things go sideways, take a moment to smile, because this when you get to show everyone your superpower as a project leader, producer, etc. And if you hate putting out the fires, it might not be the right role for you.

Being flexible and adaptable in production environments is essential. On every project, we have to prepare for the unknown; as that is usually the circumstances. Being cooperative, respectful to all departments and a problem solver are what make you an asset to your department and the overall crew.

The best producers know to create a strong execution plan at the start of a project. And a clear and realistic timeline that keeps everyone comfortable with milestones while simultaneously driving the project forward is core to that plan. But, no matter how smoothly a project goes, there will be curveballs, and typically the first thing to go off course is the timeline. At these crossroads, keeping that same steadiness and clear communication across departments is the best way to calibrate everyone’s expectations and make collaborators feel comfortable with timing needed to meet new requests. So it all starts with a real solid and thought-through plan, coupled with the ability to listen and adapt when milestone events don’t go as planned.

I made a feature film. I thought it would take 1.5 years, it took 5. I toured it for another 2 years on top of that. I thought the rooms full of audiences clapping and the awards were the goal. The reality was the best part was the collaboration and time I was making the film, laboring in the creative process. Don't miss the good part aiming for the ending. In the end, the sound of clapping is just noise.

I love this point. Anyone that’s worked hard on a theater, film, or music project knows the wonderful value of celebrating achievements. As a producer, I often call on the same talent for the next project. It’s very important to create an atmosphere that celebrates personal and team accomplishments from the onset.

Collaborating is indeed a game changer for making the best film possible. You can take a good idea, and pepper and season it (metaphorically speaking) and turn it into a masterpiece. But often, many of the cooks that helped make the meal special, get lost in the shuffle. I do agree that too many cooks in the kitchen can also have the opposite affect. But as achievements of grandeur are achieved, every contributing effort should be celebrated and shout outs at every turn for these helpful contributors, should be acknowledged. It takes a village to make a stick out, piece of film ART.

Nothing I've ever accomplished professionally has been done by myself. The more complicated and interesting the Project, the more talented people you need to have on board. That means you have to know how to manage superstars.

Without their leadership, accountability, and realistic planning, any software or system you choose will fall short. It's their dedication and skill in guiding the team that makes all the difference. Like any meaningful endeavor, leadership will create a solid roadmap with checkpoints along the way, coupled with a workflow that ensures continuous progress, a communication strategy that requires acknowledgment of receipt, a backup plan in case of any issues, and a central hub for all team leaders to get real-time updates on the project(s).

An important aspect as a part of any film team is to identify positions whose kra is to ensure the project timeline is in order. EPs, post production supervisors, unit managers and the creative team members can ensure the project doesn't drag on if there is good internal communication. Timely and purposeful communication from both sides can ensure things don't get stuck on any front. Proper communication always ensures resolution is achieved in a timely and satisfactory way. If that can be achieved, everyone can stay at the top of their project timeline.

Ensuring timeline awareness when dealing with several different crews, in different states and sometimes different countries requires that you give yourself 'cushion' by when you are communicating with your team/crew what the latest date you can use their services and then always have an at least one-month contingency worked in to your plans from the start. Always expect things to go for the 'worst' and prepare accordingly. If things go smoothly (which is 50% of the time if you are lucky) BUT, it is expecting (and being prepared) for the unlimited and inevitable types of emergencies/catastrophes that can befall a film production is unlimited. So "Always Expect the worst & hope 4 the best" and you will win!
