How can you ensure participation from all members during a facilitation session?

Looking ahead, I see these facilitation strategies becoming increasingly vital. There are myriad ways to engage during a session -excellent examples are here. Instead, here is what to do during the before, the breaks, and after the ending of your session. Before: Have a slide up showing simple rules of participation. Sharing is caring. Suggestion: have them write down their learning objective and attach their “why” to that. Establish motivation. Understand what do people need! They won’t participate and spend their time in something which is not enticing. When I go for talks in companies, am introduced beforehand, an excitement is created, my success story is shared and main point - ‘we tell them what is in it for them’ When they relate, they participate. Make it relatable, approachable, discussable and memorable.

Learn participant names early (by first break), it creates a personal connection, leaving them more open to participate. Having said that, it is not always necessary to have everyone participate. Sometimes listening is enough, listening is a form of participation. Creating unnecessary anxiety for those who just want to observe is counter productive.

One thing I have found helpful is being intentional about physical movement as form of engagement. Let participants vote with their bodies e.g move to one side of the room, stand up from their chair. Encourage participants to move between inside and outside venues if the space allows and also create the freedom to work on the floor if they are comfortable with that, particularly for group work.

I always try to do a check-in that contributes and makes the team interact and get to know each other. I often use the checkin information at another point in the dynamic. Furthermore, I do my best to ensure that the training has a lot of group dynamics so that everyone can speak and contribute. Finally, I try to find out things about people beforehand, such as which companies they work for, profession, age, etc. to talk about topics related to them.

Facilitators have several methods they can use to engage their participants: ?? Seating arrangements are key. Have people move around and change seats and groups they are in. Set up the seating in tables or other that encourage discussion. ??Speakers should move around the room to engage people differently. Walk up aisles. Speak from the back. Shake up the routine. ?? One of the key components to ensure participation is to demonstrate genuine curiosity before, during, and after a session. Make participants feel that you are sincerely interested in their opinions and reassure them that you will support them even if their opinion isn't met with enthusiasm. Creating an emotionally secure environment where it's okay to express different viewpoints will discourage the use of negative words and encourage more thoughtful body language from all participants.

Positive reinforcement: Verbal praise: "Great job on that presentation!" Written recognition: "I was very impressed with your recent report." Tangible rewards: "Thank you for your hard work." Public recognition: "I want to commend [Ameen] for your outstanding contribution to the project." Feedback: Specific and descriptive feedback: "I liked how you used data to support your arguments in the presentation." Actionable feedback: "I suggest that you try using a different approach to solve this problem." Timely feedback: "It's important to provide feedback as soon as possible." Respectful feedback: Feedback should be delivered in a way that is respectful and considerate of the individual's feelings.

Always try to find the balance in a session. A mixture of both individual and group based feedback is important Other useful reminders are to: - to highlight both action and impact. This helps to encourage the participant to do more of specific behavior especially if positive behaviour - be consistent when giving groups feedback, give all groups feedback especially when they are presenting back to the larger group - feedback is also helpful on process and progress in specific activities; participants also want to know if they are on the right track

Make everyone feel equal. Encourage even the new joiners, even if the output is not as useful, be courteous in your explanation. That way everyone has a chance to speak.

Respect different viewpoints, make everyone feel valued. Inclusivity is critical to making all the folks in the room comfortable! People speak up when they feel empowered to do so.

An important thing to consider is the feel of the room. Facilitator should make sure that the room is well lit up. There are colours in the background that are comforting and bright. Everyone can see each other's faces clearly. It sets a tone and a the needed feel to the environment. Just don't go overboard.

Lead by example. The facilitator must demonstrate active listening and openness to all ideas. This sets the tone for inclusivity and encourages others to participate.
