How can you engage stakeholders outside of your organization?

Knowing your audience is extremely important. As a K-12 school communicator responsible for community engagement, my stakeholders might only be considered the students, parents, and staff of my school. But, it really goes beyond that to everyone we come in contact with. This could include vendors, local community groups such as city council members, and neighbors living around your building. Once you know your audience, you can segment your communication toward their needs. For example, parents need to know what is happening in the classrooms, while city officials are interested in your business success. This is why you need newsletters for parents and LinkedIn for business leaders.

Working on several large scale transformations, it is my experience that progress can only be made if organisations start collaborating with a broad range of partners. In the beginning of a programme, you might not know who your main stakeholders are, or which ones are willing to work with you. Trying to sort this out within your organisation, means a lot of red tape and time loss. A better (although sometimes uneasy) option is to share your transformational challenge openly in society and ask partners who feel invited to contact you. In this open dialogue with a growing range of partners, the first mutual projects can be started quickly. This brings in new knowledge and much more energy than only discussing the next step.

An interesting way of engaging stakeholders in your organisational change programme is to use a narrative about a higher mission (e.g. a societal issue that has to be solved) and that you are trying to influence/change/contribute to. Many more organisations will be interested in being part of this bigger mission, and reach out. The problems you want to solve in your own organisation, can be addressed in smaller projects that are part of this bigger mission, just as the partner organisations can bring in their own challenges in this broader cooperation. From experience I noticed that the energy rises in this group, because they go from worrying about problems to working together with others on solutions.

By tailoring your communication to your stakeholders' specific needs and preferences, you can build stronger relationships, enhance engagement, and achieve better outcomes. Segment your audience, choose the right channels, watch your language and tone, be relevant, personalize messages, and focus on the benefits.

Use this feedback to refine your approach and improve future communication. I would suggest to explore strategies for connecting with external stakeholders, from diverse communication channels to collaborative projects and CSR initiatives. Recognizing the spectrum of stakeholders, seeking feedback, and maintaining transparent practices are key. Participation in industry events and leveraging technology further enhance engagement. In an interconnected era, thriving requires breaking down traditional boundaries, making external stakeholder engagement a necessity for sustained success.

Establish regular, transparent communication channels to keep them informed and involved. Building trust is crucial, so ensure you're consistent in your messages and follow through on commitments. Always be open to feedback and show genuine interest in their perspectives. Remember, stakeholder engagement is about creating mutually beneficial relationships that support your organisations objectives while respecting and valuing external partners' contributions.
