2 Make it easy and convenient

The easier and more convenient you make it for the attendees to provide feedback, the more likely they are to do so. You can use various tools and methods to collect feedback, such as surveys, polls, forms, chats, or emails. Choose the ones that suit your audience, purpose, and timeframe. For example, you can use a simple online survey to get feedback on the agenda and objectives a few days before the meeting, or a quick poll to get feedback on the meeting effectiveness right after it ends.

By designing the feedback loop. It is good to set expectations for everyone to participate by “going around the table”. If the person doesn’t provide feedback after a few times, it is good to speak to them to remind them to contribute. Technology has also been an enabler to assist better feedback loops, so usage of tech makes it quicker and easier and more native to some users.

3 Acknowledge and appreciate

One of the best ways to encourage feedback is to acknowledge and appreciate it. When you receive feedback from the attendees, thank them for their time and effort, and let them know how you will use their input to improve the meeting. You can also highlight some of the feedback that you found particularly valuable or insightful, and share it with the rest of the attendees. This will show them that you value their opinions and that their feedback makes a difference.

4 Act on the feedback

The most important step to encourage feedback is to act on it. If you ignore or dismiss the feedback that you receive, you will discourage the attendees from giving it again. Create a "yes, and" culture. Feedback doesn't have to disagree or confront what's presented, it can enrich it by adding perspectives. This creates a culture of support and collaboration where nobody needs to fear giving or receiving feedback.
