How can you effectively teach editing and proofreading skills to students?

When teaching editing and proofreafing skills to students, you have to first explain the difference to them. This is so that they wouldn't get confused. Editing is the process of finalising your writing project. This is when you include or exclude certain things that you have written. Proofreading is the process of checking the mistakes made when you were writing. This is more of just correcting what is wrong, and not changing it totally.

Good writing starts with a clear goal. So there's little value in talking about editorial skills without exercising planning skills. A strong plan means better structure, relating everything back to the main thesis. Relevance is thus your guiding light when editing. Does what you've written clearly link back to the point you're trying to make? If you're close, but not quite there, you're lacking Clarity - so try Brevity. Bogged down in detail, or twisting yourself, and your writing, in convoluted knots? There will be an easier way to say it, in fewer words. Proofread with fresh eyes later. You will find improvements. And don't undo all your hard work with silly typos, poor punctuation, or bad grammar.

By providing clear guidelines and criteria for what to look for when editing and proofreading, you give your students those skills that help them become proficient writers by ensuring that they provide polished error-free work.

The key here is to make the differences crystal clear to your students. There's often confusion as to which comes first. Editing is the initial step. Making changes to the structure, style & content. Proofreading is the final stage, correcting any grammar or spelling mistakes. The students should be made aware that patience & a focus is necessary for both. Assign a variety of writing tasks for them to undertake & also to edit & proofread the work of their peers. This affords them empowerment & a sense of responsibility. Regular practice of both skills, will see them respect & care for their output more & that of their fellow students!

You could teach your students how to use strategies and tools. This can help the to be better editors and proofreaders. You could ask them to work in pairs or in a group when doing editing. This is so that they can exchange views and ideas. When proofreading, you could ask your students to use online and physical dictionaries. This is so that they can search for ways to correct the mistakes that they made.

Students should also be taught that spell checkers and grammar checkers do not guarantee 100% accuracy. They are helpful tools, but should only be used to sup[port proof reading. As students get familiar with their writing, they will likely identify typographic idiosyncrasies, e.g. typing eth, or teh instead of the. These types of typographical errors are frequently not detected by spelling and grammar checkers. Once the student identified the typographical errors they frequently make, they can use the: - Find function - Auto correct function, etc., to correct these errors.

Once you have taught them the skills of editing and proofreading, you should then ask them to practice and apply it. This is so that they can fully understand how to use these skills. You should give them an article. After that, you should ask them to edit it. This is to see if they know how to edit contents that are not their original work. You could also purposely give them articles that have mistakes in them. Ask them to correct it using the proofreading skills that were taught to them.

Proofing can be practiced easily. Keep a dictionary and thesaurus to hand - looking to avoid repetition is also a great skill, where a thesaurus will help. Best tool to help grow your vocabulary. Practicing your editorial skills is harder and relies heavily on the support you recieve. This most effectively comes in the form of constructive feedback. At the extreme, I once had a professor who told the whole class that our essay submissions would more than likely recieve failing grades. They did. However, he also gave everyone extensive feedback and the opportunity to rewrite them. Second time round, of course they were all much better and an invaluable lesson had been learned. The value of revision has never been forgotten.

While editing and proofreading, there might be minor typos or errors that might go unnoticed, even for the third time of your review! In one of my previous workplace, my colleague told me to walk around for straight five minutes before filing an article and edit it again after the walk. It worked! Similarly, you can ask your students to review their own copy and edit them. Also, keeping their names anonymous, you could also peer review their work and ask them to evaluate the strength and weakness they could see in the copy they receive. By the end of the day, you could summarize the best or common takeaways or mistakes for the benefit of the entire class. This activity also helps them in growing, gradually.

When I lectured in Translation Studies, I made my classes as practical as feasible. Students would have to translate texts from scratch or work on translations written by others. A key element of the classes was a focus on proofing and editing, and this included self-proofing and self-editing and the mechanisms/processes that can be implemented to maintain a high level of discipline when doing it. The only real way to learn how to proof/edit is to proof/edit and be assessed on the outcomes.

Remember proof reading is not solely about checking the spelling/ grammar of the documentation. It also needs to consider things like: - Document layout. - Are section headings associated with, at least one line of body text, on the same page. - Is the table header applied to the top of each subsequent page the table continued onto. - Are diagrams and any associated description text linked together. - Does the table of contents cover all required headings. - Are the page numbers correct (e.g. in each new section of the document. - Are page number references and hyperlinks working correctly. - Do diagrams, etc., 'fit well' on the page, i.e. not too big/ small. - Is the information contained in the page headers and footers correct, etc.

That's the way your brain works- sequentially. I can't proceed without editing along the way. In the end, no one saves time by doing what's not natural to them.
