How will learning from the SME help you achieve your goals and deliver value to your clients and stakeholders? By defining your learning goals, you can focus your collaboration with the SME on the most relevant and useful topics, and avoid wasting their time and yours.

Depth is critical in interacting with SMEs. How deep do you need to go to be able to architect the system? So, assess what you need to learn and listen attentively to the SMEs constantly asking why the information given to you is relevant to your goal now or later. After being satisfied by the SME answers, please also ask the SME what they would want to know from you about how you are using their input including the products that they make. SMEs might not want to be working on something that will not be used by a system architect.

2 Prepare your questions

Once you have your learning goals, you should prepare a list of questions that you want to ask the SME. These questions should be specific, open-ended, and aligned with your learning goals. For example, you might ask the SME how they approach a certain problem, what tools or methods they use, what best practices or standards they follow, what challenges or risks they encounter, or how they evaluate or test their solutions. You should also do some background research on the topic and the SME, so that you can ask informed and respectful questions, and avoid asking things that are easily available online or in other sources.

Read about the domain beforehand. Look for textbooks on the subject to be able to have a better grasp of the language and the first principles used. SMEs will appreciate any effort in learning their domain and present that you are making that effort.

3 Choose your communication mode

Depending on the availability, preference, and relationship of the SME, you might choose different modes of communication to collaborate with them. For example, you might schedule a live session with the SME via phone, video call, or in-person meeting, where you can ask your questions and get immediate feedback. Alternatively, you might send your questions via email, chat, or a collaborative platform, where the SME can answer them at their convenience and provide links or attachments to additional resources. You should also consider the nature and complexity of the topic, and the level of interaction and clarification that you need, when choosing your communication mode.

It may be an outdated model, but it has served me very well in the past. The MBTI model of personalities. Particularly interesting was the aspect that different personalities tend to prefer to consume differrent presentation modes of the same data. Say, an extroverted intuitive may like an animated powerpoint, wheras the introverted thinker would prefer an excel table.

As you collaborate with the SME, you should record and organize your notes in a way that helps you review, retain, and apply what you learn.
