How can you demonstrate your technical writing skills to advance your engineering career?

A clear, and concise executive summary at the start of the report is essential, capturing any key points, and incorporating visual graphics to capture any key quantitative measures. Generally the most influential readers of a report will have the least amount of time to spend reading and interpreting the information, so it is paramount that a clear summary conveys a summary of findings, is easy to read, and visually emphasises any key or noteworthy points wherever possible.

Before one gets to assessing one's audience, one needs to be very clear about the purpose that the document is intended to serve. A current example that I am dealing with in an advisory capacity is about helping my client create a system document for the purpose of enabling the client's customer to negotiate scope and boundaries with his (client's customer's) customer. The team created a draft of a standard software system description document that would have been good for internal developers and technical stakeholders. But it did not address the purpose. In essence, written communication (including technical writing) has two principal objectives: first, inform (i.e., conveying clear, accurate, and relevant information), and second, persuade (i.e., influence the reader's thoughts, feelings, or actions). Understanding the needs and expectations of the audience a priori places the writer in an advantageous position because the language, message, tone, and content can be designed to optimize the effectiveness and value the technical communication offers the reader. Design written communication that engages the audience, and in the process stand out as an engineering and technical leader.

As Simon Sinek says, start with WHY. WHY does this document exist - this will help you determine the structure and content of the document. Depending on how it is structured, the same document can be used by multiple consumers - they just need to know which portions are relevant for them.

Using language targeted to the reader is essential. Plain language without idioms is easier to read. Remember that your reader may not have English as their first language. You want your reader to spend their time thinking about your ideas, rather than trying to work out what your ideas are. Keeping each sentence to a small a number of clauses makes it easier to digest. Further sentences can then be added for clarification. Internal cross-referencing is useful to increase the chance that the reader will find the information in your report that they are looking for.

Simplicity and clarity of the concept being presented is very important to keep the reader engaged. The foremost is the audience. If your target audience are academics or practitioners shall drive the content and the rigor required.

Every document, regardless of its nature, revolves around a central theme that tells a story. Even a seemingly mundane project plan is essentially a narrative that outlines the plot of how a project will unfold. Often I have found that much documentation has been written for those already experienced, and often lacks or is missing key things that new, fresh engineers will need to know. The key is to capture all of the subject with as much precision and accuracy as possible so that you could hand it to a brand new engineer (either out of college or new to the company) and they would have the information and steps that are needed to do their job to the highest level

This is one of the more overlooked and rushed aspects to strong technical writing. Even more so when writing from the perspective as a subject matter expert. Taking the time to allow others to proofread and review, as well as allowing yourself sufficient time between self-reviews is very important. Diversity enforced curriculum, despite the good intentions, has lowered acceptable communication skills, especially in the written text. Every thing you write, an email, a text, a simple presentation to industry reviewed and published documents - becomes a picture of who the writer was. Communication is not something instinctive we learn it over time. The more you practice the easier it becomes to do it correctly.

Technical writing is very challenging as often we struggle to connect with a wider audience than anticipated. I encourage engineers to write as much as possible. Take every opportunity to seek feedback and treat every writing opportunity as a chance to hone your skills. There is a dearth of good technical writers and the advent of AI may place a reduced emphasis on human generated content. If you have a technical passion, consider writing for a journal or even launch your own blog / Medium or other online page. Seek feedback from peers and professional writers. Finally, take a writing course.
