1 Assess the risks

The first step to creating a safe environment is to identify and evaluate the potential hazards and risks in your workplace. There is a danger that staff visiting client sites (e.g. maintenance engineers) are not fully considered by a risk assessment for that visit. The employer assumes that the client's risk assessments will cover their visiting staff, and the client company assumes that the original employer has done a visit risk assessment for their own engineers - so the engineers "fall through the cracks" In reality (and certainly in the UK) BOTH companies need to allow for the visiting engineers in their risk assessments.

It's also important to remember that remote workers, and home workers, are entitled to the same level of risk assessment as their office based colleagues.

For example, gloves, masks, goggles, or helmets. PPE should be used as a last resort, when other controls are not possible or sufficient.

When lone working, sometimes the risk of exposure to violence means that organisations will procure specially manufactured devices containing location technology and audio/video channels, thus enabling the support of a prosecution. However, it may be entirely reasonable and practical to utilise a workers mobile phone, or a smartphone in conjunction with an app, or a robust automated buddy process.

3 Monitor and review

The third step is to monitor and review the effectiveness and compliance of your controls. You should regularly check if your controls are working as intended, if they are being followed and maintained, and if they are causing any new or unforeseen problems. You should also collect and analyze data on your safety performance, such as incident reports, injury records, audits, feedback, or indicators. You should use this information to identify any gaps, weaknesses, or opportunities for improvement, and to make any necessary adjustments or changes to your controls.

One of the biggest failures of any staff safety system, is indicated by low adoption! This can be caused by a number of factors, such as a lack of prior consultation with staff, and is especially evident if that is coupled with a single PPE solution deployed across a multidisciplined workforce. A poor choice of PPE will not suit every risk scenario. Also consider if having two processes, one for business as usual operations and one for staff safety creates a further barrier. Organisations need effective reports, enabling managers to proactively review and resolve low adoption challenges with front line workers. Ideally, the system will be accessible, seamless, integrated within BAU processes, and support multiple risk scenarios.

4 Communicate and consult

The fourth step is to communicate and consult with your employees and customers on safety issues. Communication means sharing relevant and timely information on your safety policies, procedures, expectations, and performance. You should use clear and consistent messages, and various channels and formats, such as meetings, newsletters, posters, or videos. Consultation means involving your employees and customers in the decision-making and problem-solving processes on safety matters. Arguably, this should be the first stage of the introduction of any safety system. Engaging with frontline staff and management is key if the employer is to appreciate their view of the risks, and to help understand the mutual legal obligations, and to complete this before engaging in completing risk assessments and discussing the type of control measures.

5 Promote a safety culture

The fifth step is to promote a safety culture in your workplace. A safety culture is the shared values, beliefs, attitudes, and behaviors that influence how people think and act on safety issues. A positive safety culture can help you create a safe environment, because it means that everyone is committed, responsible, and accountable for safety, and that safety is a priority and a norm. You can promote a safety culture by setting a good example, providing recognition and rewards, encouraging reporting and learning, and creating a supportive and respectful atmosphere.

Its imperative to let them speak up and throw their ideas. 6 Adapt to changes

The sixth and final step is to adapt to changes that may affect your safety environment. Changes could include new or modified laws, regulations, standards, or guidelines, new or emerging hazards or risks, new or improved technologies or methods, or new or different customer needs or expectations. You should be aware of and prepared for these changes, and update your risk assessment and control measures accordingly. You should also communicate and consult with your employees and customers on how these changes may impact them, and provide them with any necessary training, support, or resources.
