This helps to maintain consistent expectations and transparency within the team and with stakeholders.

The definition of Done ( DoD) is sometimes underrated, In my opinion, a large part of the project manager's job is expectation management, and setting clear expectations for all stakeholders in the form of DoD leads to higher quality and fewer disagreements. In addition to expectation management, other benefits of DoD include Improved clarity, higher quality, and more transparency. So as you can see, all these are critical for scope control and stakeholder management.

Include not only engineering, but QA, DevOps, Customer Support and anyone else who is involved in the product lifecycle. Diagram the product lifecycle on a whiteboard. If a whiteboard is not big enough, use post it notes, or index cards with scotch tape on the walls. As you diagram, don't lead the discussion. Just facilitate the discussion. Ask questions and get clear information onto the board. Once the lifecycle is visible, and understood by everyone, then you can discuss what Done means within the context of the business. Lock in the specific definition and supporting metrics. Document and distribute.

Scrum Team – all acceptance criteria are met, all necessary test successfully completed, the work reviewed by multiple people, documentation created and the product owner has approved the work. ? Portfolio Management – the theme or initiative supports the strategic goals and objectives of the Org, clear scope and measurable outcomes, and all stakeholders are informed.

One best practice would be to follow one change at a time (may be for a sprint) instead of revamping the entire DoD as that migh affect other teams in the organization.

We most of the times miss the DoR and keep refining stories even during the sprint and causing spill over. DoD is very important but understanding DoR and their differences is also equally important for the agility of the team.
