How can you build transparent and collaborative internal communication?

One thing I've found helpful is to write out a desired end state that paints a clear vision of what is to be achieved. Socializing the end state internally is a form of constructive collaboration. By inviting feedback and participation in creating the vision, you engender buy-in early on.

The first thing in initiating internal communication is making sure you understand the various brackets your audience (in this case your employees) place themselves in. One thing I always remind myself before I work on a communication strategy is that I'm delivering or communicating it to people like myself. If I don't feel the real importance in what I've just crafted or am about to craft, so will the employees. Furthermore, transparency and consistency must be considered high on the table, but so should brevity. I would recommend anyone designing internal communication strategy to once read the book titled, 'Smart Brevity', it taught me how saying more with less is an effective way to communicate.

In preparing a transparent and collaborative communication for an internal audience the first thing one needs to do is understand and convey the background of what and why we need to reach out. Transparency is not about telling everything to everyone. People need to know what's happening and why it is happening and that too with precise communication as to why it's important for them to know what is being informed and how they can play a role in either diffusing the situation or sometimes either breaking down a crisis or celebrating a success. People feel more confident and tend to contribute better when they are taken into confidence and have a sense of belongingness and dedication to the team and organisation at large.

In addition to crafting a message that satisfies readers and stakeholders, and using the right channels, timing is so important. If your message doesn't arrive in a timely way, it could feel reactive and not entirely genuine and, therefore, not transparent. Having internal comms at the table early helps everyone be ready with the right message at the right time.

Top tip: Speak to your audience first! What do employees want be informed on? What do they currently find difficult about internal comms? What information would they like to know more about? What info do they currently have access to that confuses them? Top down comms can be alienating and worse, ignored. Helping your teams co-create the comms can build a healthier overall workspace that achieves goals faster. Our employees are our greatest brand ambassadors and they need to endorse and support every communication that we want to send across the community should be done after profound thinking and taking into consideration different perspectives of our own team members. So, as the saying goes, we need to take care of our team members first and they in turn would take care of our customers.

Value individual stories The people who are part of your company are all different from each other and their experiences are different, too. Create spaces that allow them to share their experience inside the company, feeling protagonists and convey a personal point of view to the other people they work with. Interviews, interventions, contributions from the people who work in the company can turn into many stories which, like tiles in a mosaic, will restore a lively and colorful image of the company, a place that everyone can contribute to shaping and in which to be at quite comfortable.

Internal communication is reaching a variety of people who collectively become your target audience. This in simple words mean that you have to consider the most communicable method of all that you've listed down when you first started working on your strategy. Before anything, don't forget to pick on the heartbeat of your message, start with that first and gradually make your way to the succeeding parts. Always remember the attention span of your audience is shorter than your would anticipate.

One thing is to consider what transparency and truthfulness mean for the organisation and how this is exemplified internally. Being transparent and truthful strengthens trust and reciprocity.

Good internal communications is difficult. It is important, yet difficult to be honest and authentic; senior management often have many other considerations. Yet, without honesty and authenticity, how can trust be built? Without trust, can the staff put in their best or know what is expected of them. But honesty and authenticity is frightening because it requires openess, perhaps even exposing one's flaws. But it is this willingness to be vulnerable that will win us trust and devotion.
