How can you build relationships with educational institutions for event production?

All educational institutions promote student service in the community. One good way to start building a relationship is to invite students to volunteer at your events. As the activities grow, so does the rationale for partnership, especially if you can show student learning and exposure to new audiences.

In my experience, it is great to ask for a referral. Many time colleagues are willing to assist in being a connecting factor. A brief introductory email goes a long way. Always remember you’re not alone and asking never hurts!

When developing events geared towards students we often make sure to connect and invite local public school professionals. This is our target audience therefore this is crucial for the success of these specific events.

I’ve always worked with Non Profit Organizations, or their Members when partnering with any Educational Institution for a Concert. Always for a good cause. Raising money for Educational Institutions can be a One Way Street, so make sure they are uplifting what they need to be in return.

One thing I've found helpful is being very explicit in your opening email why you think your event aligns with the goals and skills of the institution you are working with. Clarification about the event can continue once you've established the relationship.

It is important to be very specific in your email. Always have a why, and the over reaching goal of what the outcome will be. Remember, in this proposal the goal is to build partnerships not only now but for the future as well.

If you are working with university classes (like an experiential event course), remember that semesters/terms have a limited amount of time allotted that you will need to work within. Instructors also need enough notice to incorporate projects like event planning into their course design and syllabus.

In my experience of collaborating with another institution on an event, we made sure to host weekly meetings to discuss pending items. During these meetings we were also able to clarify which depts should be responsible for each task. One of our main goals was making sure everything was co branded appropriately.

In my experience it is critical that individuals feel involved, and are operating in their strengths. As you move on to different projects be mindful in how you can incorporate your new partners and their expertise.

As part of the relationship building and mutual value add, think about the ways in which the organization can also be developing their talent pipeline. Scholars are always looking for real life hands on experiences - what types of meaningful, paid internships can be part of the partnership?

Universities tend to be VERY exploitative of any labor/brand as possible. While negotiating, never allow them to convince you they are “the good guys.” Look at what they charge for Tuition, listen to them speak on the Student Benefits, and use that to negotiate your worth to said Institution. That’s tends to be the case with anything. You’ll always be helping an Educational Institution more than they will help you.

Invite the institution's representative to join one of your other events. I got to collaborate with a couple of school groups by having teachers come to my other general non-formal learning events beforehand.
