How can you avoid insensitive or offensive communication in Public Relations?

I learned — mostly through trial and error — to identify and cultivate a small circle of trustworthy informal advisers in every organization. They were reliable and indispensable assets, and crucial to planning, creating and disseminating sensitive messaging. I never drafted an important message without running the basic idea by one or more of them and seeking input. I often ran early drafts by them. More than once. someone caught an inadvertent word, phrase or nuance that might’ve created unintended, unhelpful controversy. And occasionally, they improved my writing. Bottom line: I learned never to assume I knew more than my audience.

It is important to Understand your audience and tailor your messages to resonate with diverse perspectives and cultural sensitivities. Research and stay updated on current events, societal changes, and cultural nuances to avoid inadvertently causing offense Choose words that are inclusive and respectful, avoiding stereotypes or discriminatory language Empathy. Consider the potential impact of your message on different groups and strive to communicate with empathy and understanding

Understanding your audience is a cornerstone of PR. It's like preparing for a conversation with a close friend; you tailor your words and tone. Early in my career, I learned that being mindful of the audience's expectations and values helps in crafting messaging that resonates and avoids any unintended insensitivity.

Begin by conducting thorough research on your target audience. Understand their demographics, cultures, beliefs, and communication preferences. Gain insights into their expectations and needs. Tailor your message to align with their interests, concerns, and emotions. Avoid using words, images, or symbols that could be inappropriate, disrespectful, or offensive to your audience. Demonstrating a deep understanding of your audience is key to avoiding insensitive communication.

PR is impossible without clear and transparent communication with the audience, for your audience to trust you is to make them believe in you. And to do that, I believe it is essential to know the core of your audience. Make them feel like they are important, and keep an honest line of communication. Give respect. Be accountable and responsive. Analyse the situation, adapt to it. Different scenarios requires different approach. Always stay on your feet and calm. Ask for feedback and where you can improve. Growth mindset plays an important role here. Discuss with your team about the cause of issue and work on it.

I find that a hyperlocalized approach is absolutely essential here. My recommendation would revolve around engaging with subject matter experts based in the location who are deeply aware of social norms and attuned towards cultural intricacies rather than what many would term as "lazy blanket communications" Ie. leveraging encompassing topline global messaging and hoping the media storm blows away after an extended period time.

Inclusivity is not just a buzzword; it's a must in PR. My experience taught me the power of words. A poorly chosen phrase can alienate your audience. Whether it's race, gender, or culture, using respectful language ensures that your message is received positively. A PR mishap early in my career reminded me that a single word can make a world of difference.

Steer clear of stereotypes, generalizations, assumptions, or judgments that may alienate individuals based on their identity, background, or circumstances. You have to be able to adapt, pivot, and be ready for what comes at you at the drop of a dime, especially when you are dealing with the media. In this field, how you communicate, verbal and non-verbal, will set the tone for what will follow. Your public is always watching and listening. Choose your words and actions carefully. The words you use, your body language, and how you appear in the world are an extension of your brand. Your brand is always on stage. Remember, public relations is human relations; therefore, act accordingly.

Public Relations is a world of constant change. My career has been a testament to adaptation. Being able to pivot swiftly when dealing with the media or unexpected crises is crucial. Flexibility and the ability to change your communication strategy can be the difference between success and damage control.
