In my experience it’s all about communication at all levels. Ensuring design and construction teams understand what is to be built. How interfaces will be addressed. Ensuring commercial and procurement teams understand scopes and constraints. Ensuring estimating teams are aware of legislation and build ability or at the least are able to access specialist advisors who can offer this advice.

Right from the start the contractor needs to be a realist and not a salesman. Communicate the range of outcomes for various client choices both positive and negative as well as the cost impact thru out the duration of the project. Each client dream item has a time and cost impact that needs to be communicated and agreed upon in writing prior to executing changes. Always remember that you are building the clients dream within their budget universe.

On site quality control checks need to be done every day. Client quality walk throughs need to be done no less than weekly. Now with technology via cell phones with cameras, photos should be taken on every QC inspection and saved with notes. Communicate, communicate, communicate, document, document, document.

Technology has been a game changer with cameras in our cell phones. Photograph everything and save all of them. Devise a system via dates, locations, trades, etc to be able to search and retrieve photos at anytime to communicate with owners, suppliers, or trades. Instead of he said she said show them a photo of the issue you bring to the table. These photos can be used in the warranty process to identify the root problem to almost any issue and speed the resolution process.

Early in the contractor selection process you need to identify the tire kickers from the people near the end of the contractor decision funnel. Once I believed that a client was ready to move forward to contract I gave them my companies financial statement and I always asked for theirs. Most people respected the reasoning behind it and provided some type of financial statement. It is sometimes good to prepare the client for the downsides that normally occur in a client/contractor project. Explain to them that in every project something comes up that is unexpected; just like a marriage. As long as we understand from the outset we have mutual goals we will overcome any obstacle along the way.
