How can administrative assistants manage their teams during a crisis?

One thing that I always do is to always look out for my team members. I always check on them to know their feelings because a person who is not okay can not work effectively. It must not be a physical illness but an emotional one. During a crisis, I try my best to support my team members in all ramifications. It is when they need me the most.

Administrative assistants can assist their teams during a crisis by: 1. Communication: Keeping team members informed about the situation and any changes in procedures. 2. I've learned that during a crisis, it's important to remember the people on your team, which isn't always in the articles. Apart from managing tasks and priorities, I make sure to check in with my team members personally. I ask how they're feeling and if they need any help or support. Being there for them emotionally can boost their morale and help us all stay strong when things get challenging.

The contingency plan for my team consists of responsibilities to alert the the building of crisis issues. Depending on the situation, there are protocols in place. For instance, we have mock fire drills to make sure we are safely following procedures, paging the code correctly, accounting for team members, exiting the building, etc.

In my experience contingency plans, are only needed when you have no pulse on your team. Communication is probably the greatest super power a company director could have. It's not necessary to have meetings for meeting's sake but, if you cannot you need someone who is a supervisor in your team to do the check up's and report back to you. When this is done correctly the only contingency plans we make is sometimes to pick up the slack for a teammate as with everything in this life there just are times where some teammates are not performing at 100% and others are and have the capacity to take on more. We have also gone hybrid (3 days working in the office and 2 days at home), this provides our team the ability to stay fresh & productive.

Along with regular communication, it's important to celebrate small wins. Recognizing your team's achievements can keep everyone motivated and create a positive atmosphere, making it easier to face challenges.

As the administrative assistant, I was responsible for keeping the team informed of the situation and ensuring that everyone was on the same page. I used a variety of communication tools, such as email, instant messaging, and video conferencing, to provide regular updates on the issue. I also made a point of being available to answer any questions that team members had. Communication is important at all times especially during a crisis. During the hard times. I find communicating with a team helps brian storm and work through a crisis.

If you know your team's needs, the ways that they prefer support, and how they react to problems that arise, then you will be ready to assist them when the time comes. You will only know these things if you are consistently and clearly communication with your people. Celebrate their wins in and outside the office. Know when they need support and present yourself as someone they will willingly come to when an error happens. Your team should WANT to communicate with you rather than you feeling like you have to pry information out of them. You have to be just as open as you expect them to be.

I agree. During times of crisis your function in the team is to keep the lines of communication open. Communication in these times has many different tools and we are the one that enables and structues their use by the team. An effective team connected by open regular communication ensures a successful outcome.

In times of crisis, it can be helpful to create a virtual social space for your team. This could be a weekly online meeting where team members can chat about non-work-related topics, share stories, or even play online games together. It provides a sense of togetherness and a break from the stress. Building these informal connections can strengthen the team's bonds and boost morale, making it easier to cope with challenging situations

I provide emotional support to all of my co-workers whether or not they are on my specific team. I listen without judgement and guide with compassion. Sometimes they just need to vent. Sometimes they need to call the employee assitance line and other times HR will intervene or they just need a 15 minute break to regroup. I make them feel heard and let them know how much value they add to the team.

I personally think the workplace has become too cold where if you going through hell that's your problem and not that of your colleagues but, doing the smallest thing such as checking in can mean so much more than we realize. Maybe I have the best team ever but, what I have found is creating an open communicative environment where my team can come to me when they not at their best has created the best results as we provide a plan to keep productivity high while also allowing the team member having a tough time to handle it and recover without it affecting the team dynamic through this set-up. We all understand that every dog has their day so we dont mind picking up the slack as we all know when its our turn our team has our backs!

Another good idea, is to cheer for your team when they do something right, even if it's just a small thing. This keeps them feeling good and motivated during hard times. It's like giving them a high-five for their efforts.

I find aknowleging each team member for their own small or big individual actions is a huge motivator. it helps the team to feel seen as a person adding value within the team.

You cannot pour from an empty cup. You want to support your team in everything they do, that is why you are relied on. It's why they trust you. This doesn't mean you have to give everything that you are to them. You have boundaries to keep yourself sane, calm and confident. Just as your team may take a blow, you are on that same boat. Offer yourself the same grace and care that you naturally give to others. You are just as important as the newest hire.
