TPMs always have to tailor the communication based on audiences, cultural sensivities, time zones, technical vs non technical audiences and what is sought from audience being addressed. A clear action item and support needed from executives is more important than granular details for technical teams. Asynchronous communication becomes important in globally distributed teams. Emotional correctness becomes more important than becoming politically correctness in volatile and high stakes engagement. Always assess for communication strategy in your program and its not a bad idea to have working agreement when you are kicking off the program and publishing program charter.

As a program management professional, I tailor my communication to diverse audiences by first conducting stakeholder analysis and empathy mapping to understand their needs and preferences. For executive stakeholders, I use concise, data-driven presentations emphasizing strategic insights and ROI, while technical teams receive detailed, jargon-specific updates focused on timelines and challenges. Clients and end-users are engaged with clear, non-technical language, often using prototypes and demos to illustrate benefits. Taking the time to understand cultural nuances is probably one of the most underrated keys to success on any project or program. It is very possible to cause offense in your communication without meaning to if you're not aware of such nuances and once that happens, you may be unconsciously alienating people who are vital to the success of the project. Start by learning the verbal cues, tonality and meaning associations that are native to that company/ people/ culture. Don't assume what worked somewhere will be permissible elsewhere. Ask questions, observe and be open to feedback/ learning.

Adjusting communications to cultural nuances is important. First you need to identify the nuances so you can know what needs adjusting. Talk to someone on the inside of the organization you will be communicating with to seek advice and support in identifying nuances and tailoring your communications to be fit for the audience and optimize your messaging.

As an old saying goes, in our current times it pays to know those that labor among you. The term Diversity carries a lot of weight and it spans out in numerous different ways. For instance, I myself have traveled to and worked in around 18 countries. This included the 21 years I spent in the U.S. Air Force, and the time spent as a civilian contractor. I have had to study and learn the cultures, traditions, and everyday processes of multiple ethnical backgrounds. And this also includes the United States. The key areas to be a diverse thinker, leader, and performer are; 1. Always be open to learn about what you are not familiar with. 2. Don’t judge an individual by their outward appearance. 3. Be flexible.

When conducting Incident Management system training, we tailor our approach to accommodate employees' varying computer skills. We create a welcoming environment, encouraging questions and emphasizing that no question is too basic. We assess attendees' comfort levels to adjust the training pace and content accordingly. Using clear, simple language and visual aids, we make the material accessible. Hands-on practice sessions reinforce learning, while also making sure they know we are always available for one on one support. Promoting peer support also helps create a collaborative, comfortable learning atmosphere, ensuring everyone feels confident using the system.

One of the traits required for a Program Manager is to be able to explain anything to anyone. You have to be able to speak the language that the other side can understand. It can mean summarising a complex problem or situation in a few lines or if needed going into full details. This helps to bring the diverse set of stakeholders on the same page.

Understand the audience. Executive management wants a snapshot and what they can "steer" to keep the program on-track. Bring the decisions with recommended approaches along with impacts of each choice in clear, concise manner. Line managers need details of the items. Identify the routes to solutions and get consensus with stakeholders about the approach to solution or different solutions that need to be presented. Working staff needs direction based on your insights and a lot more detail than the two levels above.

In my opinion, adapting your communication style to diverse audiences is essential. Simplifying complexity is crucial. While it’s tempting to include every detail, an efficient presentation balances content and time. I recommend using visual tools like mind maps or diagrams to clarify sequences and relationships, making information more accessible. Keeping presentations brief is vital, as maintaining audience attention is increasingly challenging. Using approachable language. Be sure slides are clear, pleasant, and reflect your style and brand, including elements that connect with the audience. This approach not only simplifies complexity but also builds confidence in your effective communication.

As an ESG team, we often have to simplify complex topics for our diverse viewership. When we rolled out a new system, many employees, especially those less tech-savvy, felt overwhelmed. To address this, we decided to simplify the training process. We broke down the training into small, manageable parts. Instead of one long session, we had shorter, focused sessions on specific aspects of the system. Throughout the training, we encouraged questions and made it clear that no question was too basic. By the end of the training, employees who initially felt overwhelmed were more confident and ready to use the system.

Effective communications can be also achieved by digital tools especially where communication is challenged by time zone and language barriers; i.e there are instances where English is not well spoken but read or where AI and google translate is used often to translate the Oracle Cloud production tickets; tools like Google Translate, Jira, Slack and teams come extreemly handy and are effective.

It is important to understand that not everyone sends and receives messages in the same way. DISC theory points this out and I recommend leaders take a DISC assessment to better understand the theory. With that said, leaders must understand that they need to tailor their communication methods not only based on education, work roles, and other factors but also on how followers are hard-wired to receive messages. Leaders must spend time to get to know their followers to better understand how followers receive information the most effectively. Leaders may want to ask followers to summarize what the leader just communicated to gauge understanding and avoid miscommunication.

Key assessment factors : 1. Assess recipients The granularity of details will be different for executive management , middle management and technical teams. Curate the details accordingly. 2. Objective, overview, rationale(why) and then the actions ( what). Many a times the “what” isn’t explained clearly and this can lead to misalignment in targets set 3. Draft and circulate conclusions, decisions and open points with clear action item owners with timelines

As an ESG team managing a wide array of assets across different industries, here's some advice: it's crucial to remain agile and adaptable. While we strive to speak intelligently about each sector, we recognize that being a master of none is okay. It's more about being informed enough to engage meaningfully and being open about what we know and what we're still learning. Embrace collaboration and leverage subject matter experts when needed to ensure accuracy and depth in discussions.
