Here's how you can successfully onboard and integrate into a virtual team remotely.

Successfully integrating into a virtual team remotely requires proactive communication, clear expectations. Start by establishing transparent communication channels and setting clear roles and responsibilities. Regular check-ins via video calls help maintain connection and alignment. Utilize project management tools for streamlined workflow and encourage social interaction to foster team cohesion. Provide necessary resources and support, and be flexible to accommodate different working styles and time zones. Celebrate successes together and actively seek feedback for continuous improvement. By prioritizing communication, clarity, and collaboration, remote team members can seamlessly integrate and contribute effectively from anywhere.

Onboarding starts with a kick-off led by their line manager, who explains expectations and sets up an interactive onboarding plan for the employee follow up on. HR then takes over explaining our company's main rules. The employee gets access to employee handbook, which clarifies communication channels, reporting process etc. Then new hire will have interview sessions with other team members, their mentor and begin their training. Every employee starts with daily training report that transforms into a regular report set by the manager. Additional events include Missions and Values team meeting where they meet the company's leaders. During the onboarding period line manager and HR hold meetings with employee to follow up on and integration.

Make sure that at the start, you know what communication tools and task management tools the company is using - get familiar with them by searching how power users use these softwares, or even contact the company for a walkthrough. This will make you much more efficient remotely. Another thing to note is that you should invest, where possible, in making yourself as comfortable and effective as you can be at home, whether that's a good set of noise cancelling headphones, ergonomic mousepad or a walking treadmill.

Our main rule is to ensure clear communication, so that the other person in the team fully understands without having to guess.

At 3D Molier we let everyone new to introduce themselves on our corporate channel. In the first team meeting we introduce the newcomer. During onboarding new employees have sessions with their peers to learn about colleagues and processes. Every second Friday we host a forum where we share personal insights, like favorite foods or places, helping us build connections and maintain a human touch, even when working remotely and communicating online.
