Sadly, 90% of this process is based on "What you currently have." It is not until a vendor engagement that you are exposed to newer solution.

Tools are great after the team knows: 1) Where are we now, 2) Where do we want to be, 3) What do we lack. Furthermore, the team has to agree on #2 before anything can proceed. If this is a technical solution, has the CIO or CTA been looped in? Engaging tools to soon is like learning to drive in a Ferrari, you will get dead faster.

If the vendors were included in step 1, then a solid pool should already be established. I do not recommend limiting the pool at this point, submit the RFP to them and allow a period for them to submit questions and post the responses publicly. Give them adequate time to respond, but do not engage in one-on-ones during this time. This will allow each vendor to present their best, not what you are leading them to.

This document should be examined by the technical, business, executive, and PM independently. Once each team has analyzed, then they should compare notes. If they can get their top 2 or 3 choices, then demonstrations should be scheduled.

To streamline the vendor selection process ,we can identify and set expectations in terms of price , delivery, service ,after sales support , logistics etc . But all the above listed terms are secondary to the benchmarks being set in terms of cost and quality that the market demands. Another component is an efficient supply chain while differentiating among vendors at par as it is one of the major parameters that can make the procurement efficient and robust . Moreover vendors should be selected based on market research, client portfolio of vendor , production space and ability to cater and support urgencies.
