Here's how you can navigate the potential drawbacks of remote work for business coaches and their clients.

I have worked with coaching clients remotely since 2006. The starting point is a contracted outcome and agreements on staying connected. When I started it was diarised touch points and emails and phone calls. Now it is diary schedules, email and WhatsApp… and agreements. Because I coach on walking the talk we will coach on lapsed agreements. But the problem of poor agreements can impact any relationship and they occur with someone in the same building!

In addition, incorporating social elements, like virtual coffee breaks or team-building activities, can further enhance the sense of community and reduce feelings of isolation, making the remote experience more enriching for everyone involved.

The key to avoiding the isolation feeling is to determine what works best for you. For example, a video call goes much farther for me than being part of an online community. This is why I must be intentional on sharing this with whoever I schedule an appointment with, sharing that I prefer to see faces for a better connection and clearer communication.

To get a good feel for each other, it's good to aim for at least one physical meeting. This meeting can e.g. be a walk & talk session in a public place such as museums, parks etc. or in nature such as forests, beaches etc. Such a physical meeting will make the following team meetings more real and alive

I often run into the trap of thinking I'm clear in my communication because I've thought something all the way through and it makes sense to me. It's helpful for me to have someone proof it first to be sure I'm clear (in most cases, that's my wife who proofs it). I've also used the technique of asking someone to repeat back to me what they heard me say and what they think I mean by it.

What has worked well for me and my coaching clients is adding texting between sessions as additional check-ins. We meet according to their schedule, but between sessions I send an encouraging text, quote I found that I think will resonate with them, or just a good morning. Sometimes, depending on the client, I send prayers. This randomized sequence of reachiing out has worked well for me. Developing trust, allowing the clients to feel more comfortable as they grow, and creating relationship. I have also sent cards through the mail if I feel it is necessary. I had one client who lost their mother during out work, so I sent a sympathy card which she deeply appreciated.

I use a follow-up email, with a brief description of what has been agreed to be done until our next coaching session. The coachee also receives a reminder for the next session with a brief questionnaire of what they want to work on and my suggestions as well. I am also available for questions that may occur before the next session.

Clarity in communication is key, echoing the biblical principle found in Colossians 4:6: "Let your conversation be always full of grace, seasoned with salt, so that you may know how to answer everyone." In remote settings, where the nuance of face-to-face interaction is absent, setting clear protocols and using effective tools are essential to maintain that grace in conversation. Be bold in asking for honest feedback—not just about the work, but about how the work is communicated. Encourage your clients to suggest communication methods they prefer. This tailors your approach to suit individual needs, enhancing effectiveness.

Enhancing communication goes beyond protocols and check-ins; it’s about genuinely connecting. The true value lies in your ability to listen and respond effectively. While technology increases the frequency of interactions, real enhancement comes from active listening. This means not just hearing words, but understanding the context and emotions behind them. We believe that truly effective communication happens when you can reflect what you've heard back to the speaker accurately, and they feel understood and validated.

I foster accountability by ensuring that agreed-upon tasks are aligned with the most significant challenges and opportunities. In my experience, addressing potential barriers and collaboratively exploring solutions enhances the likelihood of successful action. Additionally, scheduling regular check-ins on the tasks allows for timely resolution of any issues that may arise during execution.

The coachee needs to be committed to do the work within the time frame established. If they do not show up for a meeting, they lose that place and cannot replace it unless I was informed 24 hours in advance, also depending if something major came up then it will be discussed accordingly. It is their coaching process and I accompany them in their journey however, I cannot do the work for them.

Clear and transparent communication is a huge step to success. Both parties feel safe and calm on progress status, further steps, etc.

As Ecclesiastes 4:12 reminds us, "Though one may be overpowered, two can defend themselves. A cord of three strands is not quickly broken." This ancient wisdom underscores the strength found in mutual support and accountability. Create a peer accountability system where clients can pair up or form small groups. This isn’t just about checking off tasks—it’s about creating a community that motivates and supports each other. Each pair or group could have a weekly 'accountability call' where they discuss their progress and challenges. This method not only promotes a sense of responsibility but also adds a layer of human connection, which can be very motivating in a remote setup.

As Proverbs 25:28 notes, "Like a city whose walls are broken through is a person who lacks self-control." This analogy beautifully highlights the importance of boundaries, even in flexible environments. Encourage your clients to see these boundaries not as constraints but as the walls of a well-guarded city that protect and define valuable space. Designate different days of the week for different types of work (creative, administrative, communication, etc.), allowing for a rhythm that can enhance productivity and mental clarity.

I've found that a break is one the most difficult things to schedule and keep to. It's easier to stay consistent on a task when I'm in a good flow state, but recognizing when I hit the point of diminishing returns is key. Others may find much more productivity in regularly scheduled breaks throughout the day. Separating work life and personal life also differs depending on the person. I find that I am often more productive with my wife in the room than I am working on my own. This allows me spend time with her, even bounce ideas off her, and enhance both work and personal lives when I combine them.

I hear it so often that people who work remote not always implement short breaks, or not schedule their tasks properly which easily can make them feel overwhelmed, stressed, and exhausted even. It is important to implement moments of Mindfulness, taking a proper lunch break and coffee break, to disconnect for a moment from the work load. Even stepping out to get a bit fresh air can do so much. It is great to be Flexible when it comes to working remote, though make sure to set clear tasks for the day, including breaks, that are achievable without putting yourself under stress or overwhelm.

I have learned the importance of taking time out. It is proven to be more efficient for everyone. I schedule time for breaks and lunch in my agenda and I respect these and encourage people to do the same. There is always room for emergencies or unexpected situations and I manage these as they arise. If I don't take care of myself I will not provide my best self. I promote it for others as well. By doing what you tell others to do, you become a living example.

Remote job is a brilliant opportunity to enjoy full life - you can easily mix work and leisure. It is my personal experience and huge motivation to complete task properly and quickly to have time for something else. That's what I delegate to my team and customers

Trust is built on a foundation of integrity. By interviewing your client and allowing them to interview you, you lay this groundwork. Trust is earned through mutual respect and shared values, which sets the tone for meaningful and effective collaboration.

Trust is the most important aspect to establish and build with coachees, this also implies respect and much more. This is why using video sessions is important in my opinion, and it is important for both sides. The coachee and the coach, the body language goes beyond words, facial expressions etc these are all so important and to remember to validate the communications to ensure the message is understood.

Trust is crucial not only when coaching, but in everyday remote work - my experience shows it is possible but not needed to control anyone on daily basis. If you trust, you delegate and keep to agreed schedule
