I think it’s best to understand that we don’t know what we don’t know and so we must invite questions and ask as many as possible to understand team roles from their perspective and subsequently learning what skills they may value or are capable of teaching to others. Totally agree on seeing how you can use your team to help meet deadlines. That’s if you have a team and/or one you can trust. In a lot of community outreach work you alone are the team—or at least the truly accountable part of it. I find with work like this that the management of projects or deadlines for grants is often work you have to do “on your own”—weekends or evenings; you need undisturbed time. If it’s possible, try to balance that with a few days where you start work later or leave earlier so you can get the administrative side of things done.

Invest in your team and trust them! I've found it worthwhile to first spend time understanding the types of work and skills your team members are passionate about and eager to learn or develop. Then find the intersections of those areas of passion with the tasks that need to be done. People do their best work when they are energize by their job, and as leaders, we should aim to make that happen as often as possible.

One thing I’ve noticed with streamlined processes is that they increase reliability of task completion being done correctly the first time especially when all relevant task owners know them. Less trial and error and less subjective approaches ensure little waste. The processes however must be accompanied by established standards and building the capacity of task owners through testing under duress and building the requisite accountability framework to ensure process compliance

Maintain a high level of excitement and enthusiasm internally and externally. Don’t let perfection be the enemy of progress or allow a negativity to set in. Work a plan and be ready to adapt, view the unpredictable as an opportunity and bring folks with you in addressing challenges. Remember sometime the experience of a challenge prepares you for the next adventure.

In my field of homeland security and disaster preparedness/response, having flexibility within community initiatives is essential. Specifically when disasters strike, regardless of intentional, accidental, or natural causes, a good community outreach coordinator in this field must be able to pivot towards a changing priorities and missions. I like to apply basic project management methodologies to disaster management with the understanding that all plans developed can change within a moments notice. Ultimately we rely on the feedback and needs of all stakeholders within a whole community. Not one plan can be applied to every situation equally, but you need to be decisive and able to flex your decisions in order to be successful.

Reflecting and adjusting project plans is something we don’t often highlight the importance of. The community sector is grey, the world is grey and learning is continuous. Inviting collaboration from diverse areas along the way allows for innovative ideas, problem solving and leveraging resources from other areas relevant to the project. Embedding review points at the start of a project and allowing space for reflection and collaboration at these points creates the optimal environment for efficiency and achievement of quality outcomes.

Make note of the adjustments that were made for future reference. Data is great if it is used to guide future decision making- pass it on to the next team! You gotta know what you don’t know somehow!

For me I find the best way to improve myself is by feedback from colleagues. When receiving feedback you can either reflect and adjust or stay where you are at.

I believe this to be the most crucial and impactful internal aspect of this work. Being able to learn from shortcomings and receive feedback from the community continues to build trust throughout. There will always be something that did not quite meet expectations, so being responsive to criticism is important for everyone to learn and do better. It’s easy to take criticism personally when the work in itself is very personal to many of us; always remember that it is not about us.

Reflect/ adjust is the KEY thing I do in a Senior Practitioner role in a health service community outreach where I have no line workers, supervisory role OR input into regular decision making of management ALL state sector health agencies from Kinsasha, Biose Idaho, a NHS in Belfast or an Australasian local health service require practitioners undertaking outreach to treat EVERY case, every workpath with EVERY client as an opportunity for addressing system change within a context of maximising outomes for each client. Working in community outreach first requires building authentic relationships that support equity. Being mindful that you work with communities and not in them helps to reinforce that. When a tight deadline arises, having mutual relationships helps when you need to call on each other to make sure it's met.

Include the target community/primary stakeholders in the process, as their participation is crucial. It is important to listen to them, their perspectives and their way/ideas. Quite often, I have found communities coming up with solutions that are far better and more contextually practical. Further, if we have time prior to executing the scheduled work, then efforts to keep the community informed and capacitated would be an additional help as that generates a sense of ownership within the community who then do not hesitate to take lead and make things happen efficiently, effectively and in time

Prep is very important, especially for folks who are new to public speaking, meeting with an elected official, etc. Prep allows time to draft and practice talking points since it takes time to learn how to make a comprehensive statement about a potentially complex issue when only 1-2 minutes are available.

Organizing TEDx events have me work with tight deadlines. As a person who is prone to being busy, I plan backwards so that I can set up checkpoints on when I need to get things done so that I can breakdown tasks into manageable pieces at a pace that I am comfortable. Of course, knowing that I have been pulling these events off multiple times, I also got familiar with the rhythm of these events.
