Think about using a single tool that would serve as both a meeting place, workplace and collaboration center, and a database + planner, something like Miro. Don't overdo the tools. Slack is amazing as well, but you cannot handle more than several tools in the same time, so be sure to know that if optimizing your UX prior you UXD remotely!

The best tools are useless without proper training, preferably in video format for easy review. Be sure to update the training regularly, as the user interface of tools also evolves over time.

I think that user research within the company often isn't very meaningful because it doesn't reflect actual end-users. Instead, user research should involve A/B testing or surveys directly with end-users to gather honest feedback. And it should be done in the countries where the product or service is ultimately going to be used. User behavior is heavily influenced by cultural and geographical factors. In some countries, people prefer using their smartphones rather than computers, while in others it's the opposite. These kinds of differences need to be considered to create products that resonate with customers and are genuinely needed.

So, whenever I have to conduct user research remotely, I try my best to prepare the users very well. I send them videos and other materials on how to use the video conferencing software, how to share their phone screens, how to blur their backgrounds if necessary, etc. I use Calendly to book the meetings and I just do everything possible to make the whole process easy so that the user feels super comfortable throughout, especially if they are not that tech savvy. Also before the actual interview or testing, I try to spend about 5mins having conversations with them about other random fun things. Just to get them comfortable with me before we start.

Please take the time to consider individual ideas or wishes from the team and avoid dismissing them immediately.
