Here's how you can gauge the impact of your event themes as an event planner.

STOP thinking about the 'event' as what you want it to be, or what sponsors might want to see... and START thinking about the GUEST and their experience! When considering a theme, it's important to first and always consider the guest and the guest experience as they walk through your event. Consider what will entice their curiosity, what is unique about your event, what will help to form a lasting impression on the guest, and then finally...how you can creatively integrate your sponsors in a way that serves the GUEST first, while still achieving sponsor KPI's.

People don't come to events that don't seem interesting or fun to them. Also, comparing the attrition rate (number registered vs. number attended) tells you how relevant the theme is to people. A lower than usual attrition rate tells you that the topic has enough relevance to hold more interest than average.

After every event I usually have my attendees complete a questionnaire. I ask them to rate on a scale of 1-10 the: 1) Host 2) Keynote Speaker 3) Information 4) Location 5) Food 6) Waiter/Waitress Finally, I ask them if they would recommend others to attend and if they would provide me with referrals. Their feedback from these questions have been invaluable to me.

There are a million ways to track number of interactions with things at an event. Event apps can help, but a simple "scan badge to use" feature on photo booths and such can easily give you a great stack of data to analyze.

An event I planned was to recognize the attendees' contributions of their personal time, energy, and money, to complete the mission of a non-profit organization. The event theme was bygone elegance, featuring surprise displays of less than elegant, candid photos of the attendees working together. It was well received, as evidenced by animated conversations, inside jokes, laughter, and a palpable sense of satisfaction with themselves, the organization, and what had been accomplished to that point in time. Even people who do not particularly enjoy pictures of themselves can appreciate visual testament of their sacrifice and commitment to a cause they believe in. Celebrating accomplishments is great, but "accomplishers" need celebrating too.

Feedback is crucial after each event. When planning events, it’s important to have “fun” but your audience should have a learning takeaway. Send feedback directly after the event if possible. Keep it short and sweet. Asking too many follow-up questions can be a deterrent to having attendees complete it. Give a deadline for completion. After the deadline passes, take time to really dive into the feedback. Tackle any low hanging fruit first. If additional questions are presented in the feedback forms, follow up. Feedback is a gift so be sure to view it this way! Some items will be out of your control, and that’s okay!

One of the best ways to gauge effectiveness is by creating a survey with a mix of multiple choice questions and open ended questions. For instance, asking "how much did you resonate with the theme of the event" on a scale of 1-5, then also asking how do you plan to implement this, or how will what you learned apply to your everyday work/life is a great mix. The rating scale gives you a clean look at the effectiveness and the open ended question answers the questions of why and how this made an impact so you can double down at your next event

Feedback is key to measure success, mediocrity or failure. I always ask for feedback from very different attendees so that we can learn from mistakes, ensure effectiveness for the future and (last, but not least important), make better planning ahead to project a whole fiscal year of more inclusive, effective, efficient and less expensive events. This has helped me a lot to coordinate more interesting, organized and appealing activities for all attendees. It has also helped me to get to know participants’ perspectives and opinions much better and even get help from people I did not know was available, capable and willing to help. They felt useful and integrated just by listening to their opinions.

You have to be able to take the theme and break it apart into digestible, measurable pieces. That way, your survey results or observations can form trends that will show you the overall effectiveness of the theme while determining which parts were most impactful.

By saving some time at the end of your event and dedicating five minutes for participants to complete your feedback survey on the spot, you're likely to get significantly more feedback. I recommend building your feedback form in advance, turning the link into a QR code, and sharing the QR code either in print or in presentation to make it easy for participants to scan and complete. This tactic also ensures you're gathering feedback on a more diverse range of experiences rather than just those on the extremes of the spectrum, since traditionally the effort to submit feedback post-event is typically taken by those who have intense feelings about the experience.

Five items I believe are essential to a successful event aligned with Business Objectives: *Brand:?Increase awareness of mission and vision of the company/organization leading up to event *Networking:?Create opportunities for attendeees to connection formally and informally Sales:?create an array of opportunities to make money, use social media, sell tickets and raffles, competitive sales opportunities with acknowledgement at event. *Education:?assure new and current members are clear on what the company and organization and the benefits to them. *Profit- Focus on a specific amount of funds desired to obtain. Have several meetings with teams, encourage creativty and autonomy.

Assess whether the theme helped achieve your goals by looking at metrics like sales numbers, leads generated, or partnerships formed. In my experience, event planning has more to do with organization, creativity, and utilizing your people skills. Prioritizing and time management to ensure the goals of the event are actually met is critical, and aligning with your goals (event goals, strategic goals, budget goals - you get the picture, right)... Be sure you are working with people you can actually build a relationship with, too. This will guarantee more business in the future because word-of-mouth is the best PR/marketing there is. Be resilient, and adaptable in this market. Attention to details matter (there really is a difference between blush and bashful, or grey and silver, or frosted and glittery). Using data and insights gathered to shape future events, however, allows me to leverage the feedback to make the process of future planning easier. This ultimately gives me the best opportunity to secure future success.

To theme or not to theme. An event with impact starts in the planning stages for it. With thoughtfulness and creativity, you can tailor things to make theme alignment happen even with seemingly unrelated items. Let's say you are organizing a technology event and a colleague randomly suggests an Identical TWIN meet up--and for some unknown reason the boss is crazy for the idea, then you could--hypothetically, include a lecture on digital twinning at the event, or if the budget permits, highlight the "science of twins"; bring in a keynote speaker like the genius who initiated NASA's trailblazing Twin Study, with retired astronauts Mark and Scott Kelly. Starting to get the picture? Yep, the best event plans need you to think outside the box.

Your review should compare the event against the goals or the takeaways you wanted your attendees to leave with. Did we meet their expectation? Make certain you don't have the same speakers every year. To make the content fresh and relevant as you move forward. I think it's realistic to have a 3-year timeline with a schedule of speakers that you have to recruit either at the event and or within weeks following the current event.

Decor is the obvious way to show the theme to guests. But it is static, so it’s not the most dynamic way. I invite you to challenge your food & beverage & AV & entertainment vendors to bring the theme to life.. they are all full of untapped creativity because a lot of events settle for safe and plug/play versions of themes vs really pushing the envelope & striving to make a more immersive memorable experience. Take creative risks! ????????
