This is probably the most important part of developing a better feedback habit - doing it. The ultimate aim is to create a feedback culture where it's absolutely the norm and not something to fear or speak of in hushed terms. By all means, start small and remember to think of feedback in motivational and/or developmental terms. Give motivational feedback to reinforce the behaviours that have the right impact, and developmental feedback to modify behaviours. This approach and attitude to feedback make it altogether more beneficial. Lastly, I think real-play is always more powerful than role-play, so find something real to give feedback on and give it a go.

If we're talking about fostering a healthy work environment, especially if it isn't the norm, you need to address the flaws in the past and provide a fresh slate to "practice" up front. Give your employees an identified time or place that the change is occurring and be consistent. I believe this also brings in the taboo topic of making sure that leaders are addressing the "problem children". It takes one bad apple to ruin the batch so making sure you give them the chance to change or find an exit strategy.

If you're reserving feedback for the final result or outcome, you're missing a trick. The feedback that acknowledges effort and progress maintains motivation and momentum. And, it's not about praise, or criticism for that matter. Feedback is holding the mirror up for someone to see the impact of their behaviour.

Acknowledging those who excel at providing constructive feedback and those who respond positively and with a willingness to improve can take many forms, from verbal praise in meetings to formal reward systems. The fortune is in the follow-up! Following up and checking in, even multiple times after the main event, shows you care and want to go the extra mile for your team. Following up also gives you the chance to open doors to other things that team members may have on their minds. It's vital to have a follow-up system in place. Something I used at my previous company was an alignment check-in report that my team filled out every Friday. This form was NOT about their performance, but rather about their well-being and feelings. After the form was submitted, our COO would have alignment calls with everyone to discuss the report and open the space for a safe, secure environment for them to open up. It was something our team cherished every week.

Follow-up is so important. I always ask myself, is my say/do ratio 1? Self-reflection - This question prompts you to pause and reflect on whether you're consistently following through on your commitments. Accountability - It holds you accountable for your words and actions, encouraging you to take responsibility for what you say you'll do. Improvement - If your say/do ratio is not 1, it highlights areas for improvement. You can then take steps to close the gap between your words and actions.

Feedback should be an ongoing conversation rather than a one-time event. Establishing a follow-up process to check on progress after giving feedback shows a commitment to employee growth and success. This approach not only demonstrates that feedback is taken seriously but also helps address any lingering concerns. Regular follow-ups reinforce the idea that feedback is integral to personal and professional development.

Please make sure your feedback is actionable as this is what makes it constructive. And, as feedback well constructed and delivered often leads to coaching, even if just a coaching moment, get into questioning mode as soon as possible. Feedback is dialogue!

The employee expects that the work done by him or her is recognized by the authority. To get work done, the employee needs tools and facilities which will help in getting the work done. The important part is providing necessary support to the employee. The organization culture needs to be developed wherein the employee feels free to provide the feedback and share his or her problems with the seniors. Most of the times companies say that they are customers first company and most of the times employees are neglected. Instead of this, it is important that companies become employees first as the employees are the one who will be serving the customers and if they are satisfied, customers will be satisfied.

Using appropriate models of feedback is necessary to maintain effective communication in the team. Personally, I have found the SBI (Situation, Behaviour, Impact) model very effective in starting positive conversations with direct and honest feedback. Models such as the sandwich model (Good feedback, bad feedback, good feedback) don't allow for this, often leave the other person confused, and were designed to cushion the blow. An effective feedback model in the hands of an effective leader has no need to cushion anything. Learn how to use more appropriate models of feedback yourself and teach these to your team, or better yet, learn them together! Doing it with them will only support gaining buy-in from your team.
