I always advise leaders to be open and flexible when designing new policies and changes. If there are new media and ways of communicating in the organisation's environment, it can be good to be willing to open up those possibilities. The other thing I have seen work is to allow people in the organisation to create their own communities, to share and interact freely in the organisation's media.

Regularly review the feedback process to identify areas for improvement and make necessary adjustments. Seek input from employees on how to enhance the feedback process and make it more effective.

I would add that talking about issues of concern opens up a lot of understanding of the organisation's environment. In this case, meetings such as brown bag lunches, where people get together and share their free time and opinions, create cohesion and allow different views to be expressed. Not always in very systemic formats, but more open and flexible. However, it is important to fine-tune active listening.

Implement a regular schedule for feedback sessions, whether quarterly, bi-annually, or annually, to ensure consistency. Develop standardized forms or templates focusing on key areas such as communication skills, project management, teamwork, and problem-solving.
