For many years I worked in China at Tencent where a large number of meetings were conducted in Chinese. My Chinese is ok, but even when it was at its best it was questionable. When I wanted to say something I had to pause and think about what I was going to say in order to formulate the Chinese language I was about to try and speak. This turned into a more thoughtful approach to meetings. Previously when I had meetings in English, I would blurt out whatever was on my mind - which I often did. In Chinese I couldn't do that... I don't do that in English anymore. Stop, think, reflect on what you want to say and how others will perceive it. Take an extra moment - it might seem like an eternity to you, it will be barely noticed by others.

As a designer with a technical background, I know that Information Architecture (IA) is crucial in product design. IA gives a clear overview of the product, helping to organize information so users can easily find what they need. When talking about IA with stakeholders or programmers, it acts as a clear guide, making it easier to discuss project timelines and gather useful feedback. To me, IA is like a blueprint that shows the overall structure and navigation of the product, making it vital for good communication and planning.

To practice active listening you need to devote 100% of your attention to the speaker. If you're working out your response to them in your head while they're talking, you'll miss most of what they're saying.

During user interviews and testing sessions, focus on truly understanding the user's perspective. This means maintaining eye contact, nodding to show understanding, and avoiding interruptions. Take detailed notes and ask follow-up questions to clarify any uncertainties. By fully engaging in these interactions, you can gather deeper insights into user behaviors and preferences.

When asking clarifying questions, use the "echo" technique to ensure you fully understand the user's responses. This involves repeating back what the user has said in your own words and asking for confirmation. For example, if a user mentions that they find the current navigation confusing, you could respond with: "So, what I'm hearing is that the current navigation doesn't clearly direct you to the sections you need. Is that correct?" Incorporating the echo technique into your interactions not only reinforces your engagement but also ensures a more accurate and detailed understanding of the user's perspective.

You learn by asking questions. The more you ask the more you get clarity on what exactly the user is looking for. If feasible, list down the probable questions.

Ask as many questions as you think is relevant to the scope of work; Do not hesitate to keep the client or stakeholder engaged a bit longer. It helps to clarify the scope of work, but it also helps the client to review if there is something that wasn't addressed so far, and could affect further planning and development.

Whether we mean it or not, sometimes we can fall into the habit of assuming. In UX, assumption is dangerous. Assuming will result in poor design choices, which can be costly. Make sure to ask as many questions as you need so you can fully grasp the problem you're trying to solve. To ensure you fully understand your users, summarize what they've said and repeat it to them. This helps clarify any unclear points and allows the user to correct any misunderstandings or miscommunications.

In my experience, questions are essential to finding the root of many architectural problems, but it is also very easy to bias the results with a poorly formulated question. Ensure that your questions always aim to delve into the reasons behind the user’s actions and decisions. If you ask whether they are experiencing a specific problem, it is likely to bias their responses towards that issue.

However good you think your?listening skills?are, the only person who can tell you if you have understood correctly or not is the speaker.? Therefore, as an extension of good listening skills, you need to develop the ability to reflect words and feelings and to clarify that you have understood them correctly.? - Listen more than you talk. Respond to what is personal in what's being said, rather than to impersonal, distant or abstract material. Restate and clarify what the speaker has said; don't ask questions or say what you feel, believe or want. Summarize Key Points: Highlight the main points or concerns shared by the speaker to ensure you've grasped the essence of their message.

Ask clarifying questions: If something is unclear, it's useful to clarify your understanding in your own words. This shows active listening and engagement. For example, if a user expresses difficulty finding information on a website, you might ask, "Could you share a specific example of when you had trouble locating something?" This approach helps you pinpoint their exact pain points.

Reflective listening involves paraphrasing what the speaker has said to ensure you've accurately understood their points. This technique not only shows the speaker that you are paying attention but also helps clarify any misunderstandings. For example, after a user describes their frustration with a particular navigation flow, you might respond with, "So, it sounds like you're finding it difficult to locate specific information quickly. Is that correct?" While doing this, also ensure you do not ask users leading questions, your questions should only be based off their feedback to show you are with them all the way and see their frustrations

La introspección que conlleva reflexionar puede dar muy buenos resultados, ya que el iterar una idea de distintas maneras nos puede dar una ventaja clara al momento de usar IA.

After active listening I think this is the most important aspect when working with clients on IA. In addition to their frustrations, understand where they are coming from, their motivations, and their ultimate goal. Relatedly, having them show rather than tell can be much more clarifying, show the actual problem (which often is actually different from what they say), and lead to potential solutions.

The "Follow Up" stage is essential in the active listening process, as it involves circling back to the user after discussions have been translated into actions or implementations. This step emphasizes the value of user contributions by verifying that the changes made align with their feedback and by continuously seeking to meet their needs. It serves as an additional checkpoint for validation; if there are any residual or new issues, these can be promptly identified and addressed. For Information Architecture (IA), the follow-up phase ensures that the adjustments resonate with the user's expectations and enhance their interaction with the digital product.

Follow up as a form of testing. Since IA is such an abstract activity (probably the most abstract in the entire UX process) it is important to test what you’ve captured.

Following up is important to keep engaging the user, and to confirm that you care and think about the project. Also that way the user will be satisfied all the way through the process.

Learn data management and data governance framework and taxonomies. This clarity of thought is essential when dealing with stakeholders.
