Here's how you can enhance virtual collaboration using technology.

Using Collaboration Tools: Implement platforms like Slack, Microsoft Teams, or Asana for seamless communication and task management. Video Conferencing: Utilise Zoom or Google Meet for face-to-face meetings and brainstorming sessions. Cloud Storage: Share and collaborate on documents via Google Drive or Dropbox. Virtual Whiteboards: Leverage tools like Miro or Microsoft Whiteboard for interactive brainstorming.

For knowledge sharing purposes (processes, user guides, training material) I really like confluence. It allows you to create pages, shareable with whoever needs to access them and you can embed files or videos on the pages. Sharepoint also can work but I fing it less handy because often access to sharepoint spaces are super restricted. I would avoid sharing in onedrives or similar spaces that are linked to a user because if the user leaves and her / his account is disabled you risk loosing your files (or will need to move them prior which means the links to access them will change).

Communication tools are essential to work remotely and connect with your colleagues. With a tool like teams for instance you can chat, screen share, (video) call and even record calls so you can talk synchronously and a-sync. It makes connecting with your colleagues easy.

Project management software are paramount to ensure collaboration in the team but also planning, tasks assignment and tracking and project follow up. I love Jira, i think it’s a great tool that allows to work in sprints, facilitates sprint planning and let’s you see at a glance the status of all your (and your team) tasks including deadlines, dependencies, etc. you can build templates and automations (for instance if you have a recurring newsletter you can create an automation so the task will be created automatically). But there are also other PM tools such ad Wrike, Assana, Monday and one from Microsoft too. They are all similar in terms of functionalities.

I think that especially when you are working with people who are in different time zones, it's important to set expectations, for instance if I reach out to someone with a question or a request outside of their work hours, I don't expect them to answer immediately and it's totally fine that they do when they are back online. I always make sure to let them know this because people should not feel that they need to constantly be online and answering anything in a few minutes, everyone needs to also disconnect sometimes and not everything is urgent and need an answer in a few minutes.
