From my perspective, creating a feedback loop is an effective way to make things on track. However, the frequency of review/feedback must be considered carefully. In my own experience, as a project manager, I will set a regular weekly meeting among team members from different functional teams. In that meeting, each individual will have room to present/share their progress and request for help from the others. For the hot spots/critical issues, we will have daily or bi-daily review sessions including only relevant stakeholders to make them have the sense of urgency and highly prioritize their works accordingly. For high level management, I would have a regular bi-weekly meeting to update the overall status, highlight the critical issues,

In my opinion, a feedback loop can help individuals, teams, and organizations enhance their performance by allowing them know about project objectives, keeping track of progress, understanding challenges, and being specific about addressing loopholes and streamlining workflow to accomplish time frames. Furthermore, constructive feedback shared with an individual can help to build team collaboration.

I will separate the expectations into two main parts: goals and execution (how to achieve the goals). The goals shall be communicated clearly among people in the project team such as key milestones. However, for the execution session, I have to adjust the approach case by case. For example, with high expertise, I will try to delegate to them on how-to-do part. On the other hand, I will try to closely monitor the junior to make sure no discrepancy. From my point of view, the consistency in setting expectation is essential. Changing direction is inevitable but try to come with the clear reason and stick to the principles else people can easily be confused.

Sometimes complex projects involve unknows. Investigation time should be part of the expectations setting when putting together a roadmap with a timeframe. I have seen many projects take longer because of unknowns. Building into the schedule time to get more solidified architectural designs for more informed perspectives on the timeline can greatly benefit expectation setting on when project outcomes can be delivered. Some constituents may consider budgeting for this time as “padding” the schedule, but carefully explaining the reasons for taking time to plan for the design is essential.

Clear communication is very important to close all loopholes between stakeholders during project activity. Clear communication always help to reduce timeline for project activity. This will help to improve quality of project work. With the help of clear communication we can complete our targeted work without any obstacles.

In my experience when referring to expectation it’s important to consider/include the ones from the rest of your team and not only yours.

Getting to the point where feedback is asked for rather than given is key. It may be a journey to get there - but a coaching culture looking a learnings from missed and acheived deadlines will always be rewarding. So If the employee is setting sails for a deadline, then let the employee also be account bale for the feedback during and past deliveries. This does not limit the managerial responsibilities - it simply enhances autonomy and therefore individual performance!

In a very critical and challenging scenario sometimes it becomes very difficult to meet the project timelines. The team member puts in his hard work/efforts in meeting the timelines and hence it should be rewarded. This will motivate the team member and also his peers and try to keep them on track and boost the morale of the entire team.

It is beneficial to hold brainstorming meetings, sharing ideas, attending conferences, networking events, and e-learning on many topics, putting the best practices and implementing learning. Being agile in learning, creating personal learning targets, adapting to challenges and feedback, being innovative, experimenting with new techniques and open to take feedback constructively are all essential for success.

Continues learning and improves through the process of reflection such as review to ensure what had been done properly and what need to improve, adjusting or extend will generate an adaptive sustainable project management.

If the goals discussion has been proper , the whole process is easy Based on the goals , it’s best to develop a regular tracker , frequency isn’t important but have to be weekly , fortnightly or monthly , depending on the need & thorough discussion on that tracker This helps both subordinate & the manager to get totally aligned & at the time of appraisal there are no surprises as the whole process is being followed on regular basis & not waiting till year end

In a career of 46 years I've seen BS approaches & fad tools come & go with no benefit (eg: TQM, agile, etc, etc). What has proven out time & again: a Team that adopts the "why", a Team that really gives a crap about accomplishment instead of politics, a Team with natural curiosity & drive to figure things out to a level of detail that makes them highly competent. A Team that respects their leadership. They do miracles using only spreadsheets. It's never, ever, about fancy tools or cleverly named BS. It's not magic. What wins: hard working, lead from the front, show by example, politics adverse leadership that attracts a Team that takes the impossible hill because that is who they are. This is why being a good leader is so damned hard.
