From my experience in California all conference rooms should be labeled clearly on the amount of people allowed to be in each room at one time and to make sure those standards are followed. Secondly, whoever holds the meeting should be the person responsible to make sure the room is cleared of any unsafe obstacles after each meeting. Lastly, conference rooms should be inspected for any potential unsafe issues when being cleaned daily to also ensure additional eyes are looking for hazards.

In a bustling conference area it is important to plan activities before and during conference time. Pre-conference activities include risk assessment, emergency procedures for medical, technical emergencies, crowed control , proper layout with ample entry and exit areas with necessary signage etc, All FF& E must be in top working order . During the conference control over the access control, electrical safety, stand by power, audio visual equipment,fire safety and first aid, proper air conditioning,, fresh air and exhaust, public toilets manning and cleanliness etc. Communication and briefing to the staff plays a major role as well as continuous monitoring of the systems and instructions. Emergency contacts list must be provided to staff.
