Employees are struggling with new digital learning tools. How can you help them adapt and succeed?

Context and culture are crucial to the adoption of digital training tools. An organization focused on developing the skills of its staff, giving them the time and autonomy to do so, and allowing them to make mistakes, will ensure faster and more widespread adoption. That said, it's important to analyze needs at 3 levels: the individual, the team and the organization. At each of these levels, there may be levers or obstacles to the adoption of digital training tools. This can be done using questionnaires, data analysis, focus groups, individual interviews and so on.

It is of paramount importance to conduct a needs analysis before deciding what tool can be best used for digital learning. My personal choice has always been a tool that allows collaborative learning and engagement.

Budget an additional 1/3 of the cost of the digital innovation to be used for the soft side implementation. Initial training, support during implementation, assessing effectiveness, then intensive retraining for those in need will be ongoing expenses. Efforts often launch with a bang but fail to gain sustainable critical mass implementation success without resources beyond the initial vendor provided support.

It's important to have as low a technical threshold as possible for as many employees as possible. This often means first identifying applications that are already in use by employees and can be used in an e-learning context (You Tube, Intranet, corporate social network, trainings embedded in the applications themselves). Of course, this often means that only limited usage statistics are available. It is therefore often necessary to introduce a dedicated platform. But in this case, it needs to be integrated as seamlessly as possible into the rest of the employee's IT eco-system (SSO, look and feel, procedures etc.).

It’s up to the facilitator adaptability to such tools if the facilitator use the tools in cool engaging way the learners will follow accordingly

To help learners adapt to a new digital tool, start by addressing potential challenges and benefits through user stories. In my experince Interactive training with real-life examples makes learning engaging. Provide a risk-free environment, like a sandbox, where employees can experiment without affecting real data. This allows them to explore the tool on their own, similar to how they learned to use Facebook or Instagram. Additionally, offer structured learning modules tailored to different roles and interests to ensure the training is relevant and effective.

One of the biggest challenges in new technology adoption can be getting people to interact with the tool in the first place - just logging in, for example. One way to encourage this is to find low-stakes ways for people to use new tools - for example, encouraging people use a tool for fun, creative, or personal reasons before they use it for what may feel like a more daunting, business critical task. Using ChatGPT to write a haiku, for example, is an easier entry point than asking using it to conduct market research - but they both have the same effect of getting people interacting with the tool and beginning to build familiarity with it.

Digital skills should be just as important in any profession knowledge and understanding influences every work force to enhance productivity and competitiveness in industry

Learning a new tool can be challenging at first. To ease this transition, start by demonstrating a few simple tasks that will be useful in their daily work. Provide straightforward exercises to build confidence and foster a positive attitude towards the tool. Organize and deliver demonstrations and exercises in a progressive manner, starting from easy tasks and advancing to more complex ones. Interactive simulations and step-by-step guides are also very helpful. Additionally, presenting case studies based on real-life scenarios can accelerate adoption and make the tool more relatable and practical.

After completing the training program, it’s crucial to ensure that employees continue to use the tool effectively. Provide ongoing support through chatbots for quick assistance. Implement a buddy system where experienced users mentor their colleagues. Additionally, offer easy-to-follow documentation and articles to help employees as they navigate the tool
