Dealing with time zone challenges in IT outsourcing. How can you effectively bridge the communication gap?

I work with a US client in California and Seattle and we have around 4 hours difference so during the first half of the day i do meetings, finish writing some messages and answer email then the second half would be for screening and phone calls, changing your priorities doesn't only mean working on important things first in the morning it means also adapting to time differences based on the availability of the other part of interaction and communicating with efficiency, timely manner even if it is outside working hours.

One of the solution is to set the office-hours along-with flexibility of check-in and check-out. The another solution, the companies can adopt is to offer different schedule options to the employees according to the the clients they're working with. E.g. If the company is in India, and the client is in Europe then company can offer 12:00 - 09:00 shift or 03:00 - 12:00 shift to the employees to handle both employees' and clients' work and time. But, while doing these arragements it should be kept in mind that employees' well-being and health are not at risk. After all, company is by people, so they should be well taken care of.

Regular meetings and "check-in" sessions allow for effective collaboration - these can be at set times so that team members can pre-plan and don't feel ambushed by sudden unplanned meetings at times that may be challenging.

Flexible schedule is something i like because i don't believe a person can do 7 or 8 hours straight and finish from work, i work after hours and on the weekends not to show-off or show my managers i am committed but because i take my job seriously and i understand the big responsibility for me to answer people with hope in finding a new job or get a job which they have lost, being honest, empathetic and human in my line of work is crucial to not only my own success but to human kind success and prosperity.

It is always best to find a schedule that works best for you and your outsourcing partner. If your availability schedule does not fit with that of your English-speaking partner, target French-speaking clients first, for example, or those who share the same availability schedule as you. Don't force things! Try to find an effective way to collaborate together for the success of your project.

I am not a fan of Video Conferencing honestly and i think it is a waste of time for both parties to use this unnecessarily tool for an early stage meetings or early screening and interviews, phone calls is faster, messages is also fast but with team members i think especially if someone is working remotely to use Webex and Webinars and virtual meetings because it keeps someone connected and feels the belonging feeling with the organization and colleagues.

On the net, we are offered a range of different communication tools to improve our relationship with team members. It is up to you to choose the one that suits you best. If your IT partner will not be able to discuss in video conferences, favor email or other platforms that are still very useful today. It is to share briefs, ideas and other professional or entertaining activities.

Using tools like slack, MS Project and primavera are great tools to arrange workflow, tasks and action plans. Having daily interactions with colleagues, weekly meetings is also important. This is so crucial for the success of business and workflow, changing plans priorities and responsibility is no shame as long as you communicate it.

Personally, I use Notion, a project management platform that helps me a lot to organize my projects and share with my team. I like to see order established in the organization and accomplishment of my activities. Also, it is a way to coordinate your workflows and better visualize the progress of your activities overall.

These challenges can all be accounted for effectively in agreements between the parties so that there are no surprises. Often issues simply get lost in translation, a clear understanding upfront is essential and respect is key.
