You’ve organized an event. How can you be sure it was a success?

Oh, you'll know it's a success when that one exec who always complains about everything, is actually smiling and not coming up to you every minute. Then there's the social media flood the next day – hashtags galore, selfies left, right, and center. Also when your inbox isn't a warzone of emails but instead, you get that rare "Hey, great job on the event!" message. That's how I judge it was a success.

To understand that the organized event is successful, it would be more accurate to first gauge the facial expressions of the attendees. Participants' satisfaction will indicate how successful the event is. Additionally, to ascertain that a successful event has been achieved, we can consider the participants' social media feedback. Seeing an increase in the number of attendees for next year's event is also an indicator.

So crucial to know what EXACTLY you're looking for from an event. A certain amount of attendees, revenue, website visits, etc. can all be measurable goals.

Although you can't get a specific measurement without a post-event survey, facial expressions speak volumes. Are people dancing? Laughing? Did the venue have to kick us out because no one wanted to leave? That's a good party. That said, even a great party can always be improved. If you create a trusting and open relationship with your internal customers, they will let you know what was missing.

A key factor in organizing any event involves establishing your success criteria from the start. Event specifics will inform your assessment modeling. You'll want to capture a full scope of information from an event's conception through take-away discussions after the event's closure. A thorough (holistic) assessment of "success" will require a combination of both quantitative and qualitative measurements, which you'll track before, during and after "show time", with inputs and feedback coming from all stakeholders – yourself, fellow planners, your client (if there is one), in-person and/or virtual attendees, venue contacts and any other service providers involved. The more thumbs up you can count, the greater the success!

It is helpful to assist a little with collecting feedback. If your event has an event app, ask the speakers to ask the audience to provide feedback right at the end of the session, in that very moment. If there is a closing ceremony, take 3 minutes to ask the audience to provide feedback right then and there. Getting feedback from audiences once an event is over is exponentially harder.

The question is too broad for one specific answer. It all depends on the type of “event” being hosted. Is it a fundraiser, a networking social, and awards show, a tournament? Understanding the desired outcomes for both the host and the attendees is paramount. The type of event, age of attendees, outcomes, budget, results (which are often largely different from outcomes), and most importantly attendee feedback are all factors that weigh in on an event’s success. Most events are deemed successful if the attendees walk away feeling fulfilled for their time spent.

I believe one way to track the success of your event is whether or not attendees were taking pictures and sharing them with one another or on social media. Was your event buzzworthy? Was it immersive and unique? Did guests feel like they were a part of the story and the experience? Were there content creation stations, photo op backdrops, special event hashtags created specifically for your event? Were your guests still talking about your event days or weeks later? Did you have enough interactive opportunities, a theme or something noteworthy? Was your event memorable and fun? I believe how your guests felt before, during and after your event is an excellent indicator of success. Standing out in a crowd and enaging the senses is a win win!

One of the very good practices is creating a space where you can regularly inform stakeholders about the event's progress (such as the number of leads collected, the number of shares on social media, etc.). This can be a dedicated Slack channel, regular email or a ClickUp board. Creating excitement within your team makes everybody more motivated to work towards the event goals. And you are more likely to achieve them together!
