You’ve been staring at a data set for hours. How can you finally see the trends and patterns?

To reveal trends and patterns in a data set after hours of analysis: Visualize the data. Break down the data into subsets. Use statistical analysis. Compare data over time. Seek insights from others. Take breaks for a fresh perspective.

First step is to have a hypothesis - what's the question, what are we trying to get here. Then I have a look at the data...is it everything I need in one table. If not then I join it with other tables as I need and get everything in one table. When data is "tricky" I use Orange Data Mining and/or KNIME to analyse it so I can get insights quickly without coding. Second step to understand what's in there is to get counts of blanks and duplicates, and for those number fields: average, min and max, and distribution per field. From there, the analysis starts with correlation matrices, cluster analysis, and more targeted analysis from there.

I've learned that sometimes you need to step back to see the bigger picture. Take a break, clear your mind, then come back to the data with fresh eyes. Break it down into smaller chunks, visualize it differently, or try using different analytical tools. Sometimes, the trends and patterns are hiding in plain sight, and all it takes is a new perspective to uncover them.

In order to clearly observe trends and patterns, one should clean the data by doing some basic operations like removing duplicates, standardizing formatting, and addressing any missing values. Once the data is clean, it becomes easier to analyze trends accurately and make informed decisions about management, marketing strategies, and delivering innovative solutions.

Well, sometimes you really need to dig into mud to find good things. Data is rarely ideal for your analysis, pivots, charts…etc. You need to standardize the data set and make it “pivotable”. It’s not an easy task, some basic formulas can help you dramatically. Once you have a clean data set, and squeezing a meaning out of it is more possible!

The walk through of any data has to come after the problem statement is understood clearly enough - this is where most organizations fail miserably - even today. Problem statement shd be articulated in terms of 'who', 'when', 'how much' to begin with. More advanced questions involve 'how', 'why'...causality. We cannot 'talk to/through' data if we cannot communicate 'with / about' the problem statement with ease. There are no quick fixes. No prompts.

I have a background in design, and I deliberately choose to make almost all of my graphs in Google Sheets, using just basic bar charts and line charts. Those two kinds of charts will probably meet 80% of your data needs (or more), and they're the easiest for your audience to understand, interpret, and apply, which is the most important thing you can hope for from a visualization.

Every analysis should end with actionable insights, or specific recommendations on what people will start doing, stop doing, or continue doing with greater confidence based on your analysis. Your job is to make those actionable insights extremely easy to identify. In fact, that's really all you need in your presentation, with perhaps enough graphs to support those insights directly. It's an exercise in minimalism: focus on the actionable insights, with just enough information to give your stakeholders confidence in them.

Effective data sharing catalyses collective action. Presenting insights in a compelling manner, akin to a master storyteller, ensures that data drives decision-making and inspires change.

Sharing data is crucial to promoting transparency, collaboration, and innovation, allowing different stakeholders to verify results, contribute new perspectives, and advance collective knowledge.

If appropriate, consider sharing anonymized or aggregated data sets with the community. This fosters collaboration, allows for peer review of your findings, and can lead to even richer insights.

Well-presented data dashboards and respective reports are important at any level, but even more, so when you aim to make fast and better decisions. To make this possible, we need to consider the information quality but cannot be limited to that. How you present and share this data will influence your team members, the project perspective from stakeholders and most importantly the decision-making within the company.

One thing I’ve found helpful is asking myself one question I hope to answer with the data set in front of me. Then I put the data away, go outside, go look out the window, cook a meal, talk to a friend, completely forget the question and data set. Then I come back to the data set and I re-ask the question, I find the trends start to become much clearer and my data questions are answered easier.

One very important thing to take note when concluding results from data sheet is to understand that certain outside factors can reflect in data changes , for example certain goods or business could thrive due to certain external conditions … COVID for example brought a rise in sales of face masks so looking at a data of just three years would show a gradual decline in the sale as COVID gradually went also… but also bearing in mind it’s a medical essential in the health industry

Identify what are you trying to achieve with that data! Categorise into Insight, Foresight and Hindsight. Further- define the measures, dimensions and the output. If possible build a co-relation to see if the patterns emerge!

Stop looking for the trends. If you've been doing something for hours and you've been struggling you just might need to take a break from work. Take a walk, cook or do something to distract you and relax your mind. Come back to it once your mind has cleared up. Sometimes the thing you're doing isn't hard, your mind is just exhausted and overloaded. So give it a break and come back to whatever work you were struggling with once your mind has cleared up.

Given the steps are complete. Next, the first thing to come into play is to define the end goal. What are you trying to achieve, the problem you want to solve, the big picture you want display, or the hypothesis you want to test, the audience you want to target? Once the requirements are identified, it is time to interpret and communicate the result of your analysis in the form of patterns and trends. You need to explain what the patterns and trends convey, why they are important, how they relate to the goal, what recommendations to consider. Your narrative should be concise, clear, and insightful.
